Overview
Luminous uses the word Allocated in two different places, and they mean different things:
| Where you see it | What it means |
|---|---|
| Sales Orders list — Status column | The order has been posted into Luminous (inventory is committed to it). |
| Purchase Order line items grid — Allocated column | A quantity on that PO line has been reserved for specific sales order lines via Purchase-to-Order. |
Read the sections below for each one.
1. The "Allocated / Unallocated" status on the Sales Orders list
On Operations → Sales Orders, the Order Status column shows ALLOCATED once the order has been posted into Luminous (inventory is committed to it). If you don't see the column, open Columns and turn on Order Status.
- Allocated (green) — The sales order has been posted into Luminous. Posting commits the order to inventory and allows fulfillment to proceed.
- Unallocated (red) — The sales order has not yet been posted. It sits in a pre-posting state and does not yet affect inventory.
Note: The Status column is hidden by default. To see it, open the column chooser (the columns icon on the grid toolbar) and enable Status.
This label does not indicate purchase-to-order pegging — it simply tells you whether the order has been posted.
2. The "Allocated" column on Purchase Order line items (Purchase-to-Order)
When the Purchase-to-Order feature is enabled on your account, three additional columns appear on each row in the PO line items grid:
| Column | What it shows |
|---|---|
| Allocated | Total quantity on this PO line that is currently reserved (pegged) to one or more sales order lines. |
| Available to allocate | Quantity still free to be reserved — calculated as Remaining to receive minus Allocated, floored at zero. |
| Allocated to | A list of clickable links, one per pegged sales order line. Each entry shows the sales order number, the SKU in brackets, and the allocated quantity (e.g. SO-1042 [WIDGET-RED] ×5). |
Where to find these columns
The allocation columns appear in the PO line items grid, which is available in two places:
- Inside a specific Purchase Order — Go to Orders → Purchase Orders, click a PO number, then look at the line items table embedded in the PO detail page.
- Cross-PO Line Items view — From the Purchase Orders section, select the Line Items tab to see lines across all POs at once.
Note: These columns only appear if the Purchase-to-Order feature is active on your account. If you do not see them, contact your account administrator.
How to use the "Allocated to" column
- Find the PO line you want to inspect in the grid.
- Look at the Allocated to column for that row.
- Each entry represents one sales order line that has stock reserved from this PO line. Click any entry to navigate directly to that sales order.
- If the column is blank, no sales order lines are currently pegged to that PO line.
Important notes
- All quantities in the Allocated and Available to allocate columns are expressed in the same unit of measure as the rest of the PO line (the ordered UOM).
- Only open (not yet fulfilled) allocations are listed. Once the linked stock is received and the fulfillment order ships, the reservation is released and no longer appears.
- If a PO line would be over-allocated relative to what remains to be received, Available to allocate shows 0 — it will never display a negative number.
Viewing allocations from the product side
You can also see allocation figures starting from a product's inventory detail page. An Incoming & Allocations panel lists all inbound POs for that SKU, with their incoming, allocated, and available-to-allocate quantities per PO line — the inverse view of the PO grid (product → which POs have reserved stock).
