Document History — viewing and re-downloading past PDFs
What is Document History?
Every time Luminous generates a customer-facing PDF — an invoice, packing slip, or A/R statement — it saves a copy of that exact document automatically. You can view the full history for any order or invoice and re-download any past copy exactly as it was delivered, regardless of changes made to the record since.
Which documents are captured?
| Document type | Captured when… |
|---|---|
| Invoice PDF | A user downloads the invoice, or it is emailed to a contact |
| Packing slip PDF | A packing slip is printed or emailed (single order or bulk run) |
| A/R Statement PDF | A customer statement is emailed to the billing contact |
How versioning works
- The version number (v1, v2, …) increments only when the PDF content actually changes. If you email the same document twice, both events appear in the history but share the same version number — Luminous stores the file only once.
- Each row in the history represents one event (a download, email, or print), so you can see every time a document left the system and who received it.
How to access Document History on a sales order
- Open the sales order detail page.
- Click the Documents tab in the tab group near the bottom of the page.
- The table lists all captured versions, newest first, showing:
- Version (e.g. v1, v2)
- Document type (Invoice, Packing slip, Statement)
- Activity (Emailed, Downloaded, Printed)
- Recipient — the email address it was sent to, if applicable
- When — date and time of the event
- Size — file size in KB
- Click Download on any row to retrieve the exact stored copy.
Notes
- Document capture is automatic — no configuration is required.
- Capture is best-effort: if a capture fails for any reason, the document is still delivered to the customer normally. The failure is logged internally for investigation.
- History is append-only: documents are never deleted from history when you edit or re-send.
- The Documents tab is currently available on sales order detail pages. Invoice and customer-level history is accessible via the API.
