Overview
The Transaction COGS Report is a dedicated drilldown inside Insights that shows the cost of goods sold at the individual shipment-line level. You can use it to search and filter cost transactions across any date range, switch between different views, and control which date basis Luminous uses when it assigns a cost to an accounting period.
Note: This report is gated behind a feature setting. If you don't see it in the menu, contact Luminous Support to have it enabled for your account.
Getting to the Report
- In the top navigation, go to Insights → Accounting → Drill Down → Transaction COGS.
Choosing a View (Tabs)
The left-hand side panel lets you switch between four views:
| Tab | What it shows |
|---|---|
| All | Every shipped line item — one row per line. Shows Ship Date, SKU, Product Name, Channel, Order Number, and Cost per Unit. |
| Missed COGS | Filtered to only line items where the recorded cost is $0 — useful for identifying gaps before closing the books. |
| By Order | Rolls up the same data to one row per order, showing Total Qty, Total COGS, Total Revenue, Gross Margin $, and Gross Margin %. |
| Summary | A per-SKU rollup showing Row Count, Total Qty, Avg Cost / Unit, Total COGS, Total Revenue, Gross Margin $ and %. Stat cards at the top of this tab summarise the full result set (order count, total quantity, total COGS, total revenue, and gross margin). |
Setting the Date Range
At the top of the page there is a Ship date range picker. The report defaults to the previous calendar month. Changing the range immediately refreshes the grid.
Searching and Filtering Cost Transactions
Inline column filters (All and Missed COGS tabs)
On the All and Missed COGS tabs, floating filter boxes appear beneath each column header for columns that support filtering:
- SKU — text contains
- Product Name — text contains
- Channel — text contains
- Order Number — text contains
- Cost — numeric equals (not available on the Missed COGS tab, since that tab is already pre-filtered to $0-cost rows)
Type into any filter box and the grid will refresh after a short pause.
By Order tab filters
On the By Order tab, you can filter inline by Order Number and Channel.
Exclude Transfer Orders toggle
A toggle near the top of the page labelled Exclude Transfer Orders hides internal transfer-order lines from every tab, including the Summary. Your choice is remembered across sessions.
Additional optional columns (All tab)
Open the Columns panel on the right side of the grid to enable columns that are hidden by default:
- Order Date, Qty, Total COGS, Unit Price, Line Total, Line Discount
- Gross Margin $ and Gross Margin %
- Tags, Notes, Carrier, Shipping Charged, Tracking
Configuring the COGS Recognition Basis
The Recognize COGS by dropdown controls which date Luminous uses to assign a shipment line's cost to an accounting period.
The three options
| Option | What it means |
|---|---|
| Order Date | COGS is recognized on the date the order was originally placed. |
| Order Ship Date | COGS is recognized on the ship date of the order as a whole. For orders with multiple shipments, this is the first shipment's date. This is the system default. |
| Per Shipment | COGS is recognized on the actual ship date of each individual shipment. This is the recommended option for businesses that frequently ship orders in multiple parts, and it is the only basis that reconciles exactly to the Sold Qty / Sold Value columns on the Stock Snapshot Report. |
Previewing a different basis
Changing the Recognize COGS by dropdown immediately re-queries the report using the new basis so you can preview how your numbers change — this does not yet save anything.
Saving a new company-wide default
⚠️ This action is company-wide and retroactive. Once saved, everyone's Transaction COGS report and Stock Snapshot figures will use the new basis, including historical periods (Luminous does not lock closed accounting periods).
- Select the desired basis from the Recognize COGS by dropdown.
- Click Save as Default (next to the dropdown).
- A confirmation dialog will summarise the impact. Click Save as Default to confirm.
- An always-visible indicator on the screen updates to show the newly saved company default.
If you do not see the Save as Default action or the indicator, this functionality is gated behind a separate per-account setting. Contact Luminous Support to have it enabled.
Actions Menu
The Actions button provides additional tools:
- Export — sends a background export (XLSX) of the current tab and filters to the Download Center.
- Re-apply Costs to Past Shipments — re-stamps historical shipment lines with the most current cost information.
- Rebuild Inventory Cost Layers — queues a background job to rebuild cost layers, optionally scoped to specific SKUs.
- Fix Missing Inventory Costs — finds cost buckets that hold stock but have a $0 cost and fills them using the most recent good cost layer or the product base price.
- Apply SKU Costs to Period (Import) — navigates to a bulk-import tool for overriding costs by SKU for a specific period.
Tips
- Use the Missed COGS tab before month-end close to catch any lines that shipped without a cost recorded.
- Use the By Order tab when you need per-order COGS totals rather than per-line detail.
- If your Stock Snapshot Sold figures don't match your Transaction COGS totals, check that both are using the same recognition basis — the Per Shipment basis is the one that reconciles the two reports.
- The Save as Default button is intentionally disabled while the page is still loading the currently saved default, to prevent accidentally overwriting it.
