What is received-not-billed (RNB)?
When goods are received against a purchase order, Luminous records an accrual in the received-not-billed account. That accrual is cleared when the vendor bill covering those goods is released. The RNB open-item register shows every receipt line (and receipt extra cost) that has been received but not yet fully cleared — in other words, the items still sitting in the RNB accrual.
Reading the register
Each row represents one uncleared receipt line and shows:
- Received cost — the value of goods received
- Cleared cost — the portion already matched to a released bill
- Open cost — the remaining uncleared balance (received minus cleared)
- Age in days — how long the item has been open, measured from the received date to the period end
- Age bucket — grouped as 0–30, 31–60, 61–90, or 90+ days
Over-billed lines (where the cleared cost exceeds received cost, producing a negative open cost) are included, because they are a real condition that the RNB balance reflects.
Ageing and the warning threshold
Items open beyond the ageing threshold (default: 90 days) raise a warning. The threshold is configurable per tenant to match your supplier payment terms — a 120-day supplier would otherwise trigger warnings on every month-end for items behaving exactly as agreed. Contact your Luminous account team to adjust the threshold.
The ageing summary shows item count and open cost per bucket (0–30, 31–60, 61–90, 90+).
The RNB tie-out
At period close, Luminous automatically compares the register total against the posted RNB account balance in the general ledger. The result is one of:
| Status | Meaning |
|---|---|
| Balanced | Register total equals posted balance exactly — no action needed |
| Disagrees | A gap exists between the register and the ledger — this is a blocking close finding |
| Not comparable | The RNB account role has not been mapped, or no balance has been posted yet (expected until the GL rules are fully configured) |
A disagreement is blocking because both sides are built from the same allocation data; any gap indicates a posting problem that must be resolved before the period can be closed.
Closed-period stability
For open periods, the register is computed live from current operational data. Once a period is locked, the register is frozen as a snapshot — so re-opening a closed period weeks or months later shows the same register that existed at lock time, regardless of allocations or edits made since.
Note: The RNB register is part of the general ledger feature set and is available only on accounts where the general ledger is enabled.
