Overview

Luminous now includes a built-in Deals Pipeline, giving sales teams a dedicated space to track opportunities from open to closed — directly within the CRM. Deals can be organized into custom pipeline stages, viewed as a list or kanban board, and enriched with sales orders, invoices, file attachments, notes, and activity history — all in one place.

Note: This feature is actively being developed. Additional functionality and polish will be released in future updates.

How It Works

Setting Up a Deal Pipeline
  1. Navigate to Sales > Deals in the left sidebar.
  2. To configure your pipeline, open the pipeline settings and create custom stages that reflect your sales process (e.g., Prospecting, Negotiation, Closed Won, Closed Lost).
  3. For each stage, define whether it represents an open or closed state, and whether it counts as a won or lost outcome.
  4. Save your pipeline configuration. The stages will appear as columns in the board view and as filter options in the list view.

Switching Between Views

From the Deals page, use the view toggle to switch between:

  • Board View — Displays deals as cards organized in columns by pipeline stage. Drag and drop a deal card to move it between stages.
  • List View — Displays all deals in a flat, sortable list format. Useful for scanning deal status across the pipeline at a glance.

Creating a Deal
  1. From either the board or list view, click + New Deal (or the equivalent create button for your account).
  2. Enter the deal details:
    • Name — A label identifying the deal or opportunity
    • Value — The estimated or agreed deal amount
    • Owner — The team member responsible for the deal
    • Contact — The individual associated with the deal
    • Company — Link to an existing company, or create a new company record directly from the deal form
    • Stage — The current pipeline stage
    • Expected Close Date — The anticipated close date
  3. Save the deal. It will appear in the board or list view under the assigned stage.

Managing a Deal Record

Open any deal to access its full detail page. From here you can:

  • Move to stage — Use the stage dropdown to advance or move the deal through pipeline stages without dragging the card
  • Update owner, value, or contact — Edit deal fields directly on the record
  • Create a new company or contact — Add new CRM records without leaving the deal

Attaching Files to a Deal
  1. On the deal detail page, scroll to the Attachments section.
  2. Drag and drop a file into the upload area, or click browse to select a file from your computer.
    • Supported types: PDF, images, Office documents (e.g., .docx, .xlsx)
    • Maximum size: 20 MB per file
  3. Uploaded files appear with the filename, file size, uploader name, and timestamp.
  4. To remove a file, click the trash icon to the right of the file entry.

Linking Sales Orders to a Deal
  1. On the deal detail page, scroll to the Related Documents section.
  2. Click + New > Sales order to create a sales order tied directly to this deal, or Link existing > Sales order to attach a sales order that already exists.
  3. The sales order will appear listed under the deal once created.

If no documents have been linked yet, the section displays: "No related documents yet. Use New to create one or Link existing to attach a record."

Adding Invoices to a Deal
  1. Scroll to the Related Documents section on the deal detail page.
  2. Choose one of two options:
    • + New > Invoice — Creates a new invoice for this deal's associated company
    • Link existing > Invoice — Associates an invoice already in Luminous to this deal
  3. The invoice will appear listed under the Related Documents section.

The same New and Link existing menus also support purchase orders, work orders, and bills.

Viewing Activity and Adding Notes
  • Activity log — Automatically tracks status changes, stage moves, and updates to the deal record. Scroll to the Activity section at the bottom of the deal page to review the history.
  • Notes — Type a note into the Notes field and click Add note to log internal comments or context about the deal. Notes are timestamped and visible to all users with access to the deal.

Tips and Best Practices

  • Define pipeline stages before creating deals. Setting up your stages first ensures every deal is assigned consistently and your board view is organized from day one.
  • Use "Link existing" for invoices when possible. If an invoice already exists for the customer, linking it avoids creating duplicate invoice records.
  • Assign an owner to every deal. Deals without owners can be harder to track in the list view and may be missed when filtering by team member.
  • Use the Activity log as your audit trail. Rather than relying on notes for status history, let the activity log track stage changes automatically — reserve notes for qualitative context.
  • Sales orders created from a deal still follow the standard SO workflow. Creating an SO via the deal page links it to the deal for visibility but does not bypass fulfillment, purgatory, or any other downstream process.
  • Name files descriptively before uploading. Filenames display exactly as uploaded, so a clear name (e.g., Q2-Proposal-AcmeCorp.pdf) helps teammates quickly identify documents.

FAQs and Troubleshooting

Is the Deals Pipeline replacing the existing CRM?
No. The Deals Pipeline is an addition to the existing CRM. Companies, contacts, and B2B client management continue to work the same way. Deals are a new layer on top of the CRM for tracking sales opportunities.

Can I have more than one pipeline?
Yes. Multiple custom deal pipelines can be configured, allowing different teams or sales processes to use separate stage structures.

Can I link an existing sales order to a deal (not just create a new one)?
Yes. In the Related Documents section of the deal page, click Link existing > Sales order to associate an existing SO with the deal.

Can I attach more than one file to a deal?
Yes. There is no stated limit on the number of attachments per deal. Each individual file must be under 20 MB.

What file types are supported for attachments?
PDF, images (JPG, PNG, etc.), and Office documents (.docx, .xlsx). Files outside these types may not upload correctly.

Who can see deal records and attachments?
Visibility is governed by your team's role and access settings in Luminous. All users with access to a deal can view its attachments, notes, and activity log.

Can I delete an attachment after uploading it?
Yes, using the trash icon next to the file. Deletion is permanent — download a copy first if you need to retain the file.

Is the Deals feature complete?
The Deals Pipeline is an early-stage release. Additional capabilities and UI refinements are planned. Check Luminous release notes or contact your account manager for updates on upcoming improvements.
