Symptom
You select one or more posted sales orders, use the Auto Generate Fulfillment Orders bulk action, and the dialog finishes — but some or all orders show a FAILED status with an error message, or certain orders never appear in the dialog at all. After closing the tool, those orders still have no fulfillment order.
Why it happens
The bulk tool processes orders in parallel batches and reports a per-order result. Two separate things can stop a fulfillment order from being created:
1. Orders silently excluded before processing begins
Before the dialog even opens, Luminous checks every selected order for existing fulfillment orders. Any order that already has at least one fulfillment order is automatically moved to an "Excluded" section of the dialog with the reason "Already has fulfillment order(s)." These orders are not processed — they are shown for informational purposes only.
2. Orders that fail during generation
Once generation runs, each order is attempted individually. An order shows FAILED — and its specific error message is displayed inline — when any of the following conditions are true:
- Order is not posted. Auto-generation only works on orders that have been fully posted to inventory. Orders still in Purgatory cannot receive fulfillment orders.
- No fulfillment priority list is configured. The system must know which warehouse group can fulfill the order's products. If no default or product-specific priority list exists, there is nowhere to route the order.
- Insufficient stock and "Always Create" is disabled. By default, Luminous will not create a fulfillment order when available stock (on-hand minus pending) falls below the configured threshold. If no warehouse has enough stock and the Always Create setting is off, that order shows FAILED with the reason.
- All warehouses are below the partial fulfillment threshold. Even when line-item splitting is enabled, each eligible warehouse must hold at least the configured minimum percentage of the item's required quantity. If no warehouse clears that bar, generation stops.
- Products marked "Fulfill Separately" have their own individual requirements. Items set to fulfill separately each need their own priority list and stock. If any such item fails its individual check, its fulfillment order is not created.
How to resolve
Step 1 — Read the per-order error message in the dialog
When the bulk tool finishes, look at each order row. Orders with a FAILED badge display an inline error message explaining why generation failed (for example, "Not enough available quantity for this order item"). This is your primary diagnostic clue.
Step 2 — Retry failed orders without re-selecting
After reviewing the messages, click Retry Failed inside the same dialog. This re-queues only the failed orders — you do not need to close the dialog and re-select. Use this after resolving the root cause below.
Step 3 — Address the root cause based on the error message
If the error indicates the order is not posted:
- Close the dialog.
- Go to Operations → Purgatory and locate the order.
- Map any unrecognized line items to the correct products and save.
- Once all lines are mapped, re-attempt bulk generation.
If the error indicates no priority list or no warehouse:
- Ask your Luminous administrator to verify that at least one fulfillment priority list is configured and includes an active warehouse group.
- Confirm the product on the order has a valid priority list assigned (or that a default list covers it).
- Once corrected, retry from the bulk dialog or re-open the tool.
If the error indicates insufficient stock:
- Go to Operations → Operations Admin → Smart Fulfillment Settings.
- Review Always Create Fulfillment Orders Even When No Stock is Available. When it's checked, Luminous creates the fulfillment order even when stock is short, using the first warehouse group on the priority list. When it's unchecked, a stock shortage stops creation.
- If Allow a single order line to be split is checked, review Partial Fulfillment Threshold (%). A warehouse that holds less than this share of a line isn't considered.
- Click Save, then return to the dialog and click Retry Failed.
Step 4 — Check excluded orders
Scroll to the Excluded section at the bottom of the bulk dialog. Orders listed there already have fulfillment orders and were intentionally skipped. If you expected a new fulfillment order for one of these, open the sales order directly to review or manage its existing fulfillment records.
Step 5 — Wait for or manually trigger the scheduled job
If you close the dialog and prefer not to use the bulk tool again, a scheduled job automatically processes posted orders from the past two days that have no fulfillment orders. If the root cause is resolved, the job will pick up the order on its next run. You can also trigger generation for a single order from the sales order detail page using the Create Fulfillment Order button.
When to contact support
- An order shows as posted, has no existing fulfillment orders, and a priority list with stock is configured — but generation still fails with no clear error message.
- The Retry Failed button does not change the outcome after multiple attempts and the root cause appears resolved.
- Shortage alerts are firing but stock levels in Luminous appear correct.
- The bulk dialog closes unexpectedly without completing all orders.
