Why am I getting an error when I try to edit or delete a bill that was booked into the GL?

What the error means

When the General Ledger is enabled for your account, Luminous compiles operational facts — including vendor bills and their line items — into journal entries for each accounting period. This bill was recorded in [Month Year], which is closed. Reverse it, or make the change in the current period.

To protect that audit trail, Luminous refuses any edit that would change the amount of a bill or bill line that has already been compiled into a locked period. You will see an error message along the lines of:

This bill cannot be edited because it has been booked into a locked GL period.

What is and is not blocked

The guard is field-selective — it only blocks changes that would alter what was posted:

ActionAllowed?
Edit a booked bill's amount or line amounts❌ Blocked
Delete a booked bill or line item❌ Blocked
Edit a booked bill's due date, notes, or payment terms✅ Allowed
Record a payment against a booked bill✅ Allowed
Edit or delete a bill from an open (provisional) period✅ Allowed

What to do if you need to correct an amount

Because the booked amount is part of a locked, auditable record, the correct approach is to create a reversing or correcting entry rather than editing the original:

  1. Issue a vendor credit against the original bill to offset the incorrect amount.
  2. Create a new bill (or a corrected line) with the right amount.

This keeps a complete, auditable trail showing what was originally posted, what was corrected, and when.

If the period should not have been locked yet

If the period was locked in error and needs to be reopened, contact your Luminous account team. Reopening a locked GL period is an administrative action that requires careful review.

Notes

  • Bills in provisional (staging) periods are not subject to this guard — only bills compiled into a final (locked) period are protected.
  • The guard fires on individual model edits. Bulk operations that update bills through the standard Luminous UI go through the same guard.
  • Non-amount fields (due date, notes, etc.) on a booked bill remain editable at any time.
