Overview
The Lots page — found under Inventory > Inventory Admin > Lots — is the central hub for viewing, editing, and managing all inventory lots across your warehouse. With the latest update, you can now edit lot details inline or in bulk, adjust inventory against specific lots, and configure FIFO or FEFO depletion at the warehouse or product level, making lot tracking fully operational for real-world inventory workflows.
🆕 What's New
Previously, the Lots page had limited functionality. This update introduces:
- A dedicated Inventory Admin > Lots navigation path
- Inline editing of lot details (Lot #, Mfr Code, Manufactured date, Expiry date)
- Bulk Update for editing multiple lots at once
- Adjust action per lot to modify on-hand inventory
- FEFO (First Expired, First Out) depletion toggle — per warehouse and per product
- FIFO (First In, First Out) depletion toggle — per warehouse and per product
How It Works
Step 1: Navigate to the Lots Page
- In the left navigation menu, click Inventory.
- Under the Inventory Admin section, click Lots.
- The Lots grid will load, displaying all lots across your account with the following columns:
- SKU — The associated product SKU
- Product — Product name
- Lot # — The lot identifier
- Mfr Code — Manufacturer code
- Manufactured — Production date
- Expiry — Expiration date
- On Hand — Current quantity in this lot
- Reserved — Quantity reserved for orders
- Landed Cost — Total cost including freight, tariffs, etc.
- Unit Cost — Base cost per unit
- Cost Value — Total value of stock
Step 2: Filter and Find Lots
Each column has an inline filter (funnel icon) to narrow results by SKU, product name, lot number, manufacturer code, date range, or on-hand quantity. Use these to locate specific lots quickly, especially in large catalogs.
Step 3: Edit a Lot Inline
- Locate the lot row you want to update.
- Click the "⋮" menu on the right side of the row and select Edit or View to open the lot detail panel, or click directly into an editable field on the row to edit inline.
- Update any of the following:
- Lot #
- Mfr Code
- Manufactured date
- Expiry date
- Save your changes.
Step 4: Bulk Update Lots
- Check the checkbox next to each lot you want to update (or select all).
- Click the Bulk Update button in the top-right corner.
- Apply changes to the selected fields across all selected lots simultaneously.
- Confirm to save.
Use this when: You need to correct expiry dates, standardize manufacturer codes, or update multiple lots received in the same shipment.
Step 5: Adjust Inventory for a Lot
- On any lot row, click the "⋮" menu and select Adjust.
- In the Inventory Stocks modal, enter the new quantity for each location row — the +/- adjustment is calculated for you automatically. Leave a field blank to keep its current quantity.
- Click Add to Adjustment Entries to save. This creates an adjustment entry tied to the specific lot, maintaining traceability.
Step 6: Enable FEFO or FIFO Depletion
FEFO and FIFO control the order in which lots are consumed when inventory is depleted through sales orders or fulfillment.
At the Warehouse Level:
- Navigate to your warehouse group settings under Manage > Locations > Warehouse Groups
- Locate the Lot Deduction Strategy
- Select the desired depletion method from the Lot Deduction Strategy dropdown (click ⋯ > Edit on the warehouse group; the default is Inherit), then click Submit.
- FEFO — First Expired, First Out: Lots with the earliest expiry date are depleted first. Ideal for perishables or products with expiration dates.
- FIFO — First In, First Out: Lots received earliest are depleted first. Ideal for standard inventory rotation.
At the Product Level:
- Navigate to Inventory > SKUs and open the relevant SKU.
- Click ⋯ > Edit SKU and locate the Lot Deduction Strategy dropdown (next to Lot Tracking).
- Choose FEFO or FIFO to override the warehouse-level default for this specific product.
Product-level settings take precedence over warehouse-level settings when both are configured. (Confirm override behavior with engineering if product-level and warehouse-level settings conflict.)
Key Features & Options
| Feature | Description |
|---|---|
| Inline Editing | Edit lot fields directly in the grid without opening a separate form |
| Bulk Update | Select multiple lots and apply changes simultaneously |
| Adjust | Add or remove on-hand quantity for a specific lot |
| FEFO Toggle | Deplete lots by earliest expiry date first (per warehouse or product) |
| FIFO Toggle | Deplete lots by oldest received date first (per warehouse or product) |
| Column Filters | Filter the lots grid by any column for fast lookup |
| View | Open the full lot detail record |
Tips & Best Practices
- Enable FEFO for perishable or date-sensitive products. This ensures stock nearing expiration moves first, reducing waste and compliance risk.
- Use FIFO for non-perishable goods where oldest stock should rotate out naturally.
- Audit lot expiry dates regularly using the column filter on the Expiry field — lots with past expiry dates and non-zero On Hand quantities may need adjustment entries or write-offs.
- Don't confuse lot adjustments with receiving. The Adjust action corrects on-hand quantities; use the Receiving workflow to formally receive new inventory against a PO.
- Bulk Update is best used after receiving a large shipment — standardize lot numbers, expiry dates, and manufacturer codes across rows in one action rather than editing one by one.
- Lots with 0 On Hand still appear in the grid. Filter by On Hand > 0 if you want to see only active lots.
FAQs & Troubleshooting
Q: I enabled FEFO on a warehouse but the wrong lot is still being selected. Why?
A: Check whether the product has a conflicting product-level FIFO/FEFO setting that may be overriding the warehouse setting. Also confirm that the lots have expiry dates populated — FEFO cannot function correctly if Expiry fields are blank.
Q: Can I delete a lot?
A: Yes — use the Delete option in the "⋮" menu on the lot's row in the Lots grid. Deleting a lot is permanent; if you're unsure, consider reducing On Hand to 0 via an Adjust entry instead so the record and its history are preserved.
Q: What happens to cost layers when I adjust a lot's on-hand quantity?
A: Lot adjustments create adjustment entries. Cost layer behavior for those adjustments follows your product's configured cost type (FIFO costing or Weighted Average). See Understanding Cost Layers for details.
Q: The Lots page shows SKUs and Products as "—" (dash). Is that normal?
A: Yes — some lots may not yet be mapped to a specific SKU, particularly auto-generated lots. These can be resolved by editing the lot inline to associate it with the correct product.
Q: Does FEFO/FIFO apply to FBA fulfillment?
A: No. Amazon does not respect lot-level depletion order. FEFO/FIFO only applies to fulfillment from your own warehouses or 3PLs where Luminous controls lot selection. See Understanding Lot Tracking with FBA for more detail.
Q: Does FEFO/FIFO interact with Smart Fulfillment lot selection?
A: Yes — when Smart Fulfillment auto-generates a Fulfillment Order, it will respect the FEFO/FIFO setting when auto-selecting the lot for each line item. Users can still manually override the lot selection in the FO creation modal.
