How Luminous Syncs Stock to Shopify
Luminous runs a background sync that pushes calculated inventory quantities to each active Shopify channel automatically. For every SKU linked to a Shopify channel, Luminous computes a sellable quantity and sends it to Shopify via the Shopify API. The push only fires when the channel has stock push enabled.
What Quantity Gets Pushed?
By default, Luminous pushes the available quantity — not raw on-hand. The formula is:
Sellable to Push = On-Hand − Pending Orders (all channels) − Buffer
Because Luminous tracks pending orders across all your sales channels (Shopify, wholesale, Amazon, etc.), the quantity it sends to Shopify already reflects stock that is spoken for elsewhere. This prevents Shopify from overselling units that are committed to other channels. See Why Luminous Pushes Available Stock to Shopify (Not On-Hand) for a detailed walkthrough of the math.
Two Settings That Control Incoming (Open-PO) Quantity
You have two separate, independent options that govern whether quantity on open purchase orders is included in what gets pushed to Shopify.
1. Include Incoming Stocks as Sellable
When this checkbox is on, Luminous adds the open-PO incoming quantity to the on-hand number before computing the sellable amount:
Sellable to Push = (On-Hand + Incoming PO Qty) − Pending Orders − Buffer
The result is still sent as a single quantity to Shopify — Shopify just sees a larger available number that already accounts for stock expected to arrive. This is the right choice when you want to let customers order today against stock that is inbound but not yet received.
2. Push Incoming Stocks from Supplier Purchase Orders
When this checkbox is on, Luminous sends a separate stock entry for each open purchase order line that has an incoming quantity, in addition to the normal on-hand push. Each entry carries:
- The remaining incoming quantity for that PO line
- The PO's expected arrival date
This is designed for sales channels that support future or pre-order inventory — where Shopify can display stock availability broken out by expected arrival date. If the channel does not use that feature, enabling this setting has no visible effect in Shopify.
Where to Configure These Settings
- Go to Manage → Channels and open your Shopify channel.
- Click the Edit button (top right) to open the channel form.
- Scroll to the Push Inventory Stocks and Costs section and make sure Push Stock to Integration is turned on.
- Next to the Push Stock to Integration toggle you will see two checkboxes:
- Include Incoming Stocks as Sellable
- Push Incoming Stocks from Supplier Purchase Orders
- Check or uncheck as needed, then click Save.
You can verify the result by checking the Stock Lvl [Pulled] and Last Pushed columns on the channel's Product Mapping page, or by triggering a manual stock push from the same page.
Other Push Settings That Affect the Final Number
| Setting | Effect |
|---|---|
| Buffer quantity (per product or channel) | Subtracted from sellable before pushing; can prevent Shopify from selling the last few units |
| Allow negative buffered sellable quantity | When off (default), the pushed quantity is floored at zero even if the buffer calculation goes negative |
| Push stock to Shopify on-hand instead of available | Sends raw on-hand rather than the available calculation; requires the GraphQL push method to be enabled |
| Use GraphQL for stock push | Uses Shopify's GraphQL API (adjustment method) instead of the legacy REST set endpoint |
These settings are configured on the Shopify integration account (under Settings → App Integrations), not on the individual channel. See Shopify Stock Push Settings: Controlling How Inventory is Pushed to Shopify for step-by-step instructions.
Quick-Reference Decision Guide
| Goal | Setting to use |
|---|---|
| Show only physically received stock | Both incoming options off (default) |
| Let customers buy against inbound PO stock as one combined number | Include Incoming Stocks as Sellable = on |
| Push each open PO as a future-dated availability entry | Push Incoming Stocks from Supplier Purchase Orders = on |
| Both of the above | Enable both checkboxes |
Frequently Asked Questions
Q: If I enable "Include Incoming Stocks as Sellable," does Luminous deduct pending orders against that incoming quantity too? Yes. The pending-order deduction and buffer are applied after incoming stock is added to on-hand, so the final number pushed to Shopify is still net of all open orders across your channels.
Q: How often does Luminous push stock to Shopify? The push runs on a scheduled cycle for all channels with stock push enabled. You can also trigger an immediate push manually from the Product Mapping page for any individual SKU.
Q: My incoming PO quantity isn't appearing in Shopify even after enabling the setting. What should I check? First confirm the purchase order has an arrival due date set — PO entries without a date may not generate a separate stock payload. Then trigger a manual push and check the Last Pushed column to confirm the sync ran.
