Overview

For orders received through EDI, Luminous automatically generates and transmits an ASN (EDI 856 – Advance Ship Notice) whenever a shipment is created. This behavior is driven by the Transaction Keys configured on your EDI integration account. You have two options depending on your goal:

GoalOption
Stop all automatic 856 sending permanentlyRemove the 856 transaction key from the integration account
Send one consolidated 856 after the entire order ships (not per shipment)Enable Send 856 on Order Complete in the integration account settings

Option 1 — Completely disable automatic 856 sending

Luminous only sends an ASN if the 856EDI entry is present in your EDI integration account's Transaction Keys. Removing it stops all automatic 856 transmission.

Note: Editing Transaction Keys requires admin access to your EDI integration account configuration. If you are unsure about the correct format or which keys are present, contact Luminous Support before making changes — removing the wrong key can affect other EDI document types.

Steps

  1. Click your name in the top-right corner and choose Settings.
  2. Open the Integrations section and locate your EDI integration account.
  3. Click Edit (or the pencil icon) to open the integration account form.
  4. Find the Transaction Keys field and remove the entry that enables 856 processing.
  5. Save your changes.

Once the 856 key is removed, Luminous will skip ASN generation entirely for all new shipments on EDI orders — even if the order is fully shipped.

Option 2 — Send one 856 only after the full order ships

If your trading partner expects a single ASN per order (rather than one per shipment), you can enable the Send 856 on Order Complete setting. When this is on:

  • Luminous holds the 856 after each individual shipment is created.
  • It waits until every non-cancelled fulfillment order on the sales order reaches Shipped status.
  • It then sends a single consolidated ASN covering all shipments.

This does not disable 856 sending — it changes the timing to end-of-order.

Steps

  1. Go to Settings > Integrations and open your EDI integration account.
  2. Click the Edit (pencil) icon.
  3. Under the Settings section of the form, check the Send 856 on Order Complete box.
  4. Save.

What triggers an automatic 856 in the first place?

Luminous sends an automatic 856 when all of the following are true:

  • The sales order was received through EDI.
  • The shipment is not voided.
  • The shipment is not in Pending status.
  • The EDI integration account has the 856 transaction key configured.

If any of these conditions is not met, the 856 is skipped automatically — so a Pending-status shipment, for example, does not generate an ASN until it transitions to Shipped.
