Overview
In Luminous, a fulfillment order (FO) is the record that tracks how and where a sales order will be physically shipped. You can create one manually or let the system generate it automatically. After creation, you "confirm" the FO by pushing it to your connected fulfillment channel (warehouse management system or OMS).
Step 1 — Navigate to the sales order
- Go to Operations → Sales Orders (the posted orders list).
- Click the order you want to fulfill to open the sales order detail page.
- Open the Fulfillment Orders tab. This tab lists any existing fulfillment orders and contains an Actions button.
Step 2 — Create the fulfillment order
You have two ways to create an FO from a sales order:
Option A — Manual creation
- Click Actions in the Fulfillment Orders section.
- Select Create Fulfillment Order.
- A dialog titled Fulfill Orders opens. Fill in the required fields:
- Fulfillment Order Key — a reference identifier for the FO.
- Fulfillment Channel — the warehouse or integration that will fulfill the order.
- Ship By Date (optional) — the target ship date.
- Fulfillment Order Status — the initial status for the new FO.
- Review the items table. Each line shows the SKU, item name, and quantity remaining. Use the checkboxes and quantity fields to choose which items (and how many) to include.
- (Optional) Leave Push To Integration checked (it may be pre-checked; uncheck it if you do not want to push yet) if you want to send the FO to your fulfillment channel immediately when you save.
- Click Confirm and Save Fulfillment Order to create the FO.
Note: If the sales order has no remaining quantity to fulfill (all items are already fulfilled or cancelled), the Create Fulfillment Order option will show an error and will not open the dialog.
Option B — Auto Generate
- Click Actions → Auto Generate Fulfillment Orders.
- Confirm the prompt. Luminous will automatically create fulfillment orders for the sales order using your configured routing rules and priority lists.
- The dialog shows each order's status (Pending → Processing → Success / Failed). Use Retry Failed if any orders fail.
Orders that already have one or more fulfillment orders are excluded from Auto Generate automatically.
Step 3 — Confirm (push) the fulfillment order to the fulfillment channel
If you did not check "Push To Integration" during creation, or if the FO was auto-generated, you will need to push it manually.
From the fulfillment order detail page
- Open the fulfillment order (click its key from the Fulfillment Orders panel on the sales order, or navigate to it directly).
- Click Actions → Push to Fulfillment Channel.
- Luminous sends the FO to your connected warehouse or OMS.
From the Fulfillment Orders grid (bulk push)
- On the sales order detail page, in the Fulfillment Orders section, select one or more fulfillment orders using their checkboxes.
- Click Actions → Push to Fulfillment Channel (N).
- A batch processor dialog walks through each selected FO and reports Success or Failed per order.
Eligibility to push: An FO can be pushed if it has not yet been pushed (no push timestamp recorded) or if its status is Action Required. Already-pushed FOs in other statuses are skipped with a reason shown in the batch dialog.
After pushing
- The FO detail page shows a Fulfillment Destination, Warehouse Group, and Quantity Fulfilled once the push is processed.
- You can use Actions → Sync Fulfillment Order with OMS or Pull Fulfillment Order Updates from OMS to keep Luminous in sync with your external system.
- Use Actions → Mark as Shipped to manually record shipment if needed.
- The Shipments tab on the FO detail page shows any shipments recorded from the OMS.
Troubleshooting
| Symptom | What to check |
|---|---|
| "Create Fulfillment Order" is greyed out or shows an error | All items may already be fulfilled or cancelled — check the sales order item quantities. |
| Order is excluded from Auto Generate | The sales order already has one or more existing fulfillment orders. |
| Push fails with "Action Required" | Open the FO detail, review any error notes, correct the issue (e.g., address), then push again. |
| Cannot push an already-pushed FO | You must Unpush from WMS first (Actions → Unpush from WMS), then push again after making corrections. |
