How do I use the General Ledger page?
Availability: The General Ledger is enabled per account. If you do not see it under Insights → Accounting → General Ledger, contact your Luminous account team.
Getting to the page
Navigate to Insights → Accounting → General Ledger.
Selecting a period
Use the Period selector at the top of the page to choose which compiled GL period you are reviewing. Periods are listed newest-first. Each period has one of two states:
- Provisional (staging) — the compile can be re-run; rows may still move.
- Locked (final) — rows are frozen and cannot change. Only locked periods produce an auditor support pack.
Switching between views
Two views share the same filter bar:
| View | What it shows |
|---|---|
| Entries | Every journal line for the period, paginated, with debit/credit amounts and metadata |
| Trial Balance | Opening balance, period debits, period credits, net change, and closing balance per account — parent accounts roll up their children |
Click Entries or Trial Balance in the view toggle to switch. Your filter values are kept when you switch; filters that cannot apply to the Trial Balance (date range, vendor, posting rule, source type, SKU, warehouse) are greyed out in that view and re-activate when you return to Entries.
Entries view — what you see
Each row in the Entries view shows:
- Date — the period label the entry was compiled into.
- Rule — the posting rule that produced the entry.
- Posting basis — the operational fact type (e.g. bill, payment).
- Account code / name — the chart-of-account line posted to.
- Debit / Credit — the monetary amounts.
- Running balance — shown only when exactly one account is filtered (a hint below the grid explains when it is absent).
- Source type / Vendor / SKU / Warehouse — denormalised from the source document at compile time.
- Counter lines — the opposite side of each double-entry, dimmed so the entry reads as a whole. Toggle Strict extract in the filter bar to hide them.
Click any primary journal line (not a counter line) to open the support schedule drawer, which lists every source document that composed that line.
Trial Balance view — what you see
Each account row shows:
- Opening — the closing balance carried forward from the last locked period (zero if this is the first period).
- Debit / Credit — total activity for this period.
- Net change — debit minus credit.
- Closing — opening plus net change.
Parent accounts display in italic and show the sum of their children. Leaf accounts carry the actual posted amounts.
The date range, vendor, rule, source type, SKU, and warehouse filters do not apply to the Trial Balance — it summarises stored per-account balances which carry no such dimension. A hint appears when any of those filters are set.
Filtering the Entries view
| Filter | What it does |
|---|---|
| Account | Scope to one account; optionally include all sub-accounts with the toggle |
| Date range | Restrict to entries whose effective period falls within the range. On page open, the range is automatically set to the selected period's own bounds |
| Vendor | One or more counterparties (vendor names) |
| Posting rule | One or more posting rule roles |
| Source type | One or more source document types (e.g. bill, bill_payment) |
| SKU | One or more SKU values |
| Warehouse | One or more warehouse locations |
| Strict extract | When on, hides counter-lines (the opposite side of each entry) |
Filters persist across sessions via your browser. You can save a filter set as a preset using the Presets control and share it with your team.
Totals row and balance check
The pinned row at the bottom of the grid shows the server-computed totals for the whole filtered set (not just the current page). A ✓ indicator confirms that total debits equal total credits for the period. The difference (Σdebit − Σcredit) is shown so a mismatch is legible rather than merely flagged.
Inventory-control tie-out
When the filter includes the inventory-control account (account code 1200), the summary also shows:
- Control account closing — the GL closing balance for that account.
- Stock valuation — the independent stock-valuation figure from Luminous Core.
- Tie-out difference — the gap between them.
A zero or sub-cent difference confirms that the GL and the inventory ledger agree.
Exporting
Export ledger (CSV) — downloads the current view (Entries or Trial Balance) as a CSV file. The file begins with a filter-state block recording every filter that was applied, so the file is self-describing and can be reconciled to the screen it came from.
Export support pack (CSV or PDF) — available only for locked (final) periods. The pack includes a manifest and every journal line with its rule, posting basis, account, and source details — suitable for handing to an auditor. The button is disabled while a provisional period is selected.
