How do I set up and integrate sales channels in Luminous to sync orders and fulfillment?

Channels are the bridge between Luminous and your external platforms. Each channel controls how orders flow in (pulled from a storefront), how fulfillment orders flow out (pushed to a 3PL or WMS), and how inventory stock levels sync back to your sales platform.

Channel types

When creating a channel, you first choose one of three types:

TypeWhat it does
Sales ChannelPulls orders from an external platform (e.g. Shopify) and can push inventory stock/cost updates back to that platform.
Fulfillment ChannelRoutes fulfillment orders out to a 3PL, WMS, or other order destination.
End to End ChannelCombines both — pulls orders in and pushes fulfillment out through the same channel.

Step 1 — Create a new channel

  1. Go to Manage → Channels.
  2. Click + Create (or use an existing channel as a template via the Prepopulate from channel field).
  3. Select a Channel Type (Sales Channel, Fulfillment Channel, or End to End Channel).
  4. Enter a Channel Label (a friendly name you'll see throughout Luminous).
  5. If this is a Fulfillment Channel, assign a Warehouse Group — this links the channel to the warehouse that will fill orders.
  6. Optionally add Tags and a Description.
  7. For Sales Channels, you can also set:
    • Is Internal Sales Channel — mark this for a point-of-sale or internal ordering channel.
    • Is Customer Specific — hides the channel from the default list; used for channels that map a single B2B customer's SKUs.
    • Default CRM Company — every order from this channel will be linked to that company automatically (useful for EDI or B2B retailer channels).

Step 2 — Configure the Order Source (Sales Channels)

Under the Order Source section:

  1. Toggle PULL Sales Orders on to start importing orders from an external platform.
  2. Set Pull Orders From — select the integration account (Shopify, TrackStar, Amazon, WooCommerce, HubSpot, etc.) that Luminous should connect to.
  3. If the integration supports multiple storefronts, choose the correct OMS Store.
  4. Configure optional pull behaviors:
    • Automatically Push Fulfillment Updates to Order Source — sends tracking/shipment data back when orders are fulfilled.
    • Ignore Channel Shipments and Create Internal Shipments on Status Change — useful for in-store pickup scenarios where no 3PL shipment is expected.
    • Order Currency — if orders arrive in a currency other than your base currency, select it here so amounts are stored and converted correctly.
    • Save Contact to CRM from Orders — automatically creates a CRM record for each new order's customer.
    • Put Orders on Hold if Payment Hasn't Been Fully Captured (Shopify only) — holds orders pending payment capture.
  5. Use Filter Incoming Orders to restrict which orders from this integration are accepted by this channel (e.g. filter by tag, location, or order property).

Step 3 — Configure the Order Destination (Fulfillment Channels)

Under the Order Destination section:

  1. Toggle Push Orders to Integration on to send fulfillment orders to a 3PL or WMS.
  2. Set Push Orders To — select the integration account to receive orders.
  3. Choose the OMS Store if required.
  4. Set a Default Push Order Shipping Method if the destination requires a specific carrier/service code.
  5. Choose the Mapping Type:
    • Basic Mapping — configure simple custom field pass-through values directly on the channel.
    • Advanced Mapping — select a saved Integration Mapping for more complex field transformation rules.
  6. Optionally enable Automatically Push Fulfillment Updates to Order Source so tracking syncs back.

Step 4 — Set up Auto Push (Fulfillment Channels)

Under Auto Push Settings, choose how and when Luminous automatically pushes fulfillment orders to the destination:

ModeBehavior
DisabledOrders must be pushed manually.
ImmediateOrders push automatically after a configurable delay (in minutes).
Pick-n-pack BasedOrders push when associated picklists reach selected statuses.
Wave-basedOrders push on a schedule (every 5, 15, 20, or 30 minutes, hourly, or custom times), subject to a daily cap and processing priority.

The Wave-based mode also lets you configure:

  • Daily Cap — maximum orders pushed per day.
  • Processing Priority — which orders get processed first within the wave.
  • Processing Schedule — how often waves run.
  • Promote Planned → Pending — automatically advance orders to Pending a set number of days before or after the ship date.
  • Process Pending Within (Days) — restricts wave processing to orders whose ship-by date is within X days.

Step 5 — Push Inventory Stocks and Costs (Sales Channels)

For Sales Channels that pull orders, you can also push inventory availability back to the external platform:

  1. Toggle Push Stock to Integration on and select the Push To Integration Account.
  2. Optional stock push behaviors:
    • Include Incoming Stocks as Sellable — counts inbound purchase order inventory in the sellable quantity sent to the platform.
    • Push Incoming Stocks from Supplier Purchase Orders — includes supplier PO quantities.
    • Advanced configuration — customize the sellable quantity formula by choosing which stock components to add or deduct.
  3. Use Enable Scheduled Push Stock to push on a recurring schedule rather than only on real-time inventory changes.
  4. Separately, toggle Push Costs to Integration to sync unit cost or landed cost data to the platform.

Step 6 — Auto Fulfillment settings (Sales Channels)

Under Auto Fulfillment, control how Luminous generates fulfillment orders from incoming sales orders:

  • Always Create Fulfillment Orders Even When No Stock is Available — overrides the global setting for this channel.
  • Always Create Fulfillment Orders for Future Ship Dates — creates fulfillment orders even when stock isn't on hand yet.
  • Combine Identical SKU Line Items — merges lines with the same SKU and lot into one line item.
  • Split Auto Created Fulfillment Orders By — optionally splits fulfillment orders by Estimated Ship Date.
  • Enable Channel Override for Auto-Generation Trigger — lets you choose between Scheduled, Immediate (with optional delay in minutes, minimum 5, maximum 120), or Manual fulfillment order generation, overriding the global setting.

Step 7 — Fulfillment Restrictions (Fulfillment Channels)

Under Fulfillment Restrictions, you can limit which orders route to this channel. For example, restrict to specific ship-to countries or exclude certain regions. Leaving this section empty applies no restrictions (all eligible orders can route here).

Step 8 — Dropship / Special Order (Fulfillment Channels)

If this channel routes orders to a supplier for direct-to-customer fulfillment:

  1. Toggle Use this channel for dropship or special order fulfillment on.
  2. Select the Supplier (factory) — only products with a supplier SKU mapping for this supplier will be eligible for this channel.
  3. Choose the PO Delivery Type: Ship to Customer or Ship to Store.
  4. Optionally enable Auto-send PO email to supplier when purchase order is created.

Note: Products must have a supplier SKU mapping set up under Supplier SKUs before they can be assigned to a dropship channel during fulfillment order generation.

Viewing and editing a channel

From the Channels list, click a channel name to open its Details view. This shows a summary of all configured settings across tabs:

  • Product Mapping (Sales Channels) — maps external platform SKUs to Luminous SKUs.
  • Details — a read-only summary of all the settings above.
