What is a Channel in Luminous?

A Channel in Luminous represents any source of sales orders or any destination for fulfillment. Channels let you connect Luminous to the platforms where you sell or ship — such as Shopify, Amazon, WooCommerce, HubSpot, or a 3PL — and control exactly how orders, inventory, and fulfillment data flow between those platforms and your Luminous account.

Channel Types

When you create a channel you first choose its Channel Type, which determines which configuration sections are available:

Channel TypeWhat it does
Sales ChannelPulls incoming sales orders from an external platform (e.g. Shopify, EDI, Amazon). Manages order syncing, CRM contact creation, and invoice automation.
Fulfillment ChannelPushes fulfillment orders to a 3PL or warehouse system (e.g. TrackStar). Manages routing, wave push settings, and fulfillment restrictions.
End to End ChannelCombines both — pulls orders from a source and pushes fulfillment to a destination within one channel configuration.

Creating a New Channel

  1. Navigate to Manage → Channels in the main menu.
  2. Click Create (top-right area).
  3. (Optional) Use Prepopulate from channel to copy settings from an existing channel as a starting point.
  4. Select a Channel Type from the dropdown (Sales, Fulfillment, or End to End).
  5. Enter a Channel Label — this is the display name used throughout Luminous.
  6. Add optional Tags and a Description for internal organization.
  7. If the channel is a Fulfillment or End to End channel, select a Warehouse Group to associate with it.
  8. Click Save.

Key Configuration Sections

Once you choose a channel type, the form presents one or more of the following sections:

General Options (Sales Channels)

  • Is Internal Sales Channel — mark this for point-of-sale or internal order entry (not an external platform).
  • Is Customer Specific — use for channels that map a single customer's external SKUs to your Luminous SKUs. These are hidden from the default channel list by design.
  • Default CRM Company — when set, every order from this channel is automatically linked to that company in your CRM. Useful for B2B retailers who always place orders through the same account.

Order Source (Sales Channels)

This section controls whether Luminous pulls orders from an external platform:

  • PULL Sales Orders — toggle this on to enable order ingestion from an integration.
    • Pull Orders From — select the connected integration account (e.g. your Shopify store).
    • OMS Store — if the integration supports multiple stores, pick which one.
    • Automatically Push Fulfillment Updates to Order Source — when enabled, shipment/tracking updates are sent back to the external platform.
    • Ignore Channel Shipments and Create Internal Shipments on Status Change — advanced option used for in-store pickup scenarios (e.g. WooCommerce click-and-collect).
    • Save contact to CRM from orders — automatically creates or updates a CRM contact for each incoming order, with optional Client Type and Tag assignment.
    • Order Currency — set this if orders arrive in a non-base currency; amounts are converted for reporting and the original presentment values are preserved.
    • Filter Incoming Orders — add one or more filters so only matching orders are attached to this channel.
    • Incoming Custom Field Mapping — map external order fields to Luminous custom fields on incoming orders.
    • Put orders on hold if payment hasn't been fully captured (Shopify channels only) — places orders on hold until payment capture is confirmed.

Order Destination (Fulfillment Channels)

This section controls whether Luminous pushes fulfillment orders to a 3PL or warehouse system:

  • Push Orders to Integration — toggle on to enable.
    • Push Orders To — select the integration account (e.g. TrackStar).
    • OMS Store — pick the destination store if applicable.
    • Mapping Type — choose Basic Mapping (simple field mapping table) or Advanced Mapping (use a saved Integration Mapping configuration).
    • Default Push Order Shipping Method — set a default shipping method to use when pushing orders.
    • Outgoing Custom Field Mapping — map Luminous order fields to destination system fields on outgoing pushes.

Auto Push Settings (Fulfillment Channels)

Controls when and how Luminous automatically pushes fulfillment orders:

  • Auto-Push Mode options:
    • Immediate — push after a configurable delay (in minutes).
    • Pick-n-Pack — push when an associated picklist reaches a selected status.
    • Wave — push on a scheduled cadence (every 5, 15, 20, or 30 minutes, hourly, or at custom times), with a daily cap, processing priority, and optional Progressive Preorder Rollout.
    • Off — disable automatic pushing; orders must be pushed manually.

Push Inventory Stocks and Costs (Sales / End to End Channels)

When a sales channel is configured to pull orders, you can also push inventory levels back to that platform:

  • Push Stock to Integration — enable to sync available quantity back to the connected platform.
    • Include Incoming Stocks as Sellable — counts in-transit stock from open purchase orders.
    • Push Incoming Stocks from Supplier Purchase Orders — includes supplier PO quantities.
    • Advanced configuration — customize the sellable quantity formula by selecting which stock components to add or deduct.
    • Scheduled Push Stock — set a recurring schedule for stock pushes.
  • Push Costs to Integration — enable to sync unit cost or landed cost back to the connected platform.

Auto Fulfillment (Sales Channels)

Controls how Luminous auto-generates fulfillment orders for incoming sales:

  • Always Create Fulfillment Orders Even When No Stock is Available — override the global setting for this channel.
  • Always Create Fulfillment Orders for Future Ship Dates — override the global setting.
  • Combine Identical SKU Line Items — merge fulfillment order lines with the same SKU, Lot, and UOM.
  • Split auto-created fulfillment orders by... — optionally split fulfillment orders by Estimated Ship Date.
  • Enable Channel Override for Auto-Generation Trigger — set a channel-specific trigger (Scheduled, Immediate, or Manual) instead of the global default. When Immediate is chosen, you can also set a delay (5–120 minutes) after order posting.

Fulfillment Restrictions (Fulfillment Channels)

Add rules to limit which orders are eligible to route to this channel (for example, restrict by ship-to country). Leave empty for no restrictions.

Dropship / Special Order (Fulfillment Channels)

Enable this section to use the channel for dropship or special-order fulfillment:

  • Select a Supplier — the supplier who will fulfill the orders.
  • Inventory not tracked — when on, no on-hand deduction occurs for this channel.
  • PO delivery type — choose whether the supplier ships directly to the customer or ships to your store.
  • Auto-send PO email to supplier — automatically emails the supplier when a purchase order is created.

Note: Products must have a Supplier SKU mapping set up for the selected supplier to be eligible for this dropship channel.

Mapping Products to a Channel

For Sales Channels, the Product Mapping tab on the channel detail page lets you map external channel SKUs to your Luminous SKUs. This is how Luminous knows which of your products correspond to what the external platform sends.

For bulk updates, you can import SKU-to-channel assignments via Tools → Imports → SKU Channels. Download the provided template, fill in the Master_SKU, Include_All_Variants, and Channel_Name columns, then upload the file. You can choose to Overwrite (clear existing mappings and replace) or Append (add to existing mappings).

Editing an Existing Channel

  1. Go to Manage → Channels and click on the channel name.
  2. On the detail view, click Edit in the top-right.
  3. Make your changes and click Save.

Tips

  • Use Tags on channels to group and filter them in the channel list.
  • Use Prepopulate from channel when creating a new channel that is similar to an existing one — it copies the settings so you only need to change what differs.
  • The Is Customer Specific option hides a channel from the default list; enable the customer-specific filter in the Channels list to see those channels.
