Removing a PO line item from a shipment
If a line was added to a shipment by mistake — or quantities changed — you can remove it directly from the cross-PO Line Items view without opening the shipment record.
Where to find the action
- Go to Inventory → Purchase Orders and open the Line Items tab.
- Find the row for the line you want to correct.
- Click the ⋮ (actions) menu on that row.
- Select Remove from shipment.
Note: The actions column appears only when the feature is enabled for your account. If you do not see it, contact support.
What happens next
A dialog opens listing every shipment that line currently sits on.
- One removable shipment — the dialog shows a confirmation naming the shipment and its quantities. Click Remove to confirm.
- Multiple shipments — the dialog lists all of them. Click Remove on the one you want to take the line off. Locked shipments are listed but cannot be chosen.
- No removable shipments — the dialog explains why each one is locked. Close it and resolve the blocking condition first (see below).
Why a shipment may be locked
The server decides whether a removal is allowed; common reasons it is not:
| Reason shown | What it means |
|---|---|
| Received against | The shipment has a receiving report that records stock against this line. Void the receiving report first, then remove the line. |
| Reconciled | The shipment's delivery has been matched to receiving reports and is closed. Lines on a reconciled shipment cannot be changed. |
The same rule enforced by the dialog is enforced again server-side, so the lock cannot be bypassed.
After removal
The grid refreshes automatically. The line's Shipped quantity and Remaining to ship figures update to reflect the freed quantity. The activity log on the parent PO records the removal.
Limitation
This action works on one line at a time. It is a row action rather than a bulk action — a fully-shipped line (which has nothing left to ship or receive) is not selectable in the bulk bar, and that is exactly the line that often needs correcting.
