What is unfulfillable stock tracking?

Unfulfillable stock tracking is on by default for newer Luminous accounts. On older accounts it may be off; check the setting below.

This feature is off by default. Turning it on affects:

  • The inventory stock grid (a new Unfulfillable Quantity column appears)
  • All Available Quantity calculations (available = on-hand − pending − unfulfillable)
  • Exports and data downloads
  • API responses
  • Order planning and quote stock displays
  • Kit inventory calculations
  • Channel stock pushes (e.g. Shopify, Amazon)

Step 1: Enable the setting

  1. Click your name in the top-right corner and choose Settings.
  2. Select Inventory in the left menu.
  3. Under Stock levels → Pending, turn on Enable Unfulfillable Stocks tracking.
  4. Click Save Settings.

Once enabled, unfulfillable stock reported by your 3PL/WMS is shown separately and subtracted from Available and from quantities pushed to sales channels, starting with the next stock pull.

Step 2 (optional): Configure which WMS fields compose the unfulfillable figure

By default, Luminous reads the WMS's own Unfulfillable field. If your 3PL uses different field names or you want to combine fields, you can configure this per warehouse group:

  1. Go to Manage > Locations and click Warehouse Groups.
  2. Find the relevant warehouse group and select Edit from its menu.
  3. Scroll to the Group Options section.
  4. Use the Unfulfillable Quantity Types (OMS Stock Pull) selector to choose which raw WMS fields add into or subtract from qty_unfulfillable. Leave it empty to use the WMS's default Unfulfillable field.
  5. Click Submit.

Note: If your On Hand mapping already excludes unfulfillable stock (e.g. it uses Sellable, Fulfillable, or subtracts Unfulfillable), Luminous will record 0 for unfulfillable on that warehouse group to avoid double-counting. A warning banner in the warehouse group form will alert you when this applies.

FAQs

Q: Does enabling this retroactively change existing inventory records? A: No. Only stock pulls that happen after you enable the setting will reflect unfulfillable quantities in the available calculation.

Q: Which integrations support unfulfillable stock? A: TrackStar (and other WMS integrations that report an unfulfillable or equivalent field). The specific fields available depend on your WMS.

Q: Will my channel stock pushes (Shopify, Amazon) also reflect unfulfillable? A: Yes. When the setting is on, the available quantity pushed to sales channels is automatically net of unfulfillable stock.

Q: Can I configure this differently for each warehouse group? A: Yes. The Unfulfillable Quantity Types selector is per warehouse group, so each connected WMS location can use its own formula. See also: Customizing stock quantity types for TrackStar (WMS) integrations.
