Editing unfulfilled line items on a partially-fulfilled sales order
For orders that originated inside Luminous (including orders created manually, via EDI, via the API, or via the External API), you can edit any line item that has not yet been fulfilled — even when other lines on the same order are already on a fulfillment order or have been shipped.
Which orders can be edited this way?
| Order source | Partial editing allowed? |
|---|---|
| Luminous (manual / internal) | ✅ Yes |
| EDI | ✅ Yes |
| API / External API | ✅ Yes |
| Shopify, Amazon, or other OMS channels | ❌ No — edit at the source platform |
Orders with a Cancelled status cannot be edited.
What can I change on each line?
The system determines editability per line based on fulfilment state:
- Fully unfulfilled line — quantity, unit price, discounts, UOM, description, and estimated ship date are all editable.
- Partially fulfilled line — quantity can be reduced down to the already-fulfilled amount; price and other fields are locked.
- Fully fulfilled line — the line is locked and cannot be changed.
The delete button only appears on lines where the entire quantity is still unfulfilled.
Steps
- Open the sales order from the Sales Orders grid or the Posted Orders page.
- Click Edit. (The Edit button is available whenever at least one line is still editable.)
- Adjust the quantities or details on the unfulfilled lines.
- Click Save. The order total recalculates automatically.
What happens to linked invoices?
When you save, Luminous syncs the changes to any full-order invoice linked to this sales order (updating quantities, prices, and totals to match). Invoices that were generated for a specific shipment or fulfillment order are not changed — those stay scoped to the shipment they were created for.
If the linked invoice is already Completed, a warning banner appears in the invoice editor reminding you that saving will not automatically change the invoice's completion status.
