Editing line items on a partially fulfilled or shipped order

Luminous now evaluates each line item individually when you open a sales order for editing, so you can correct unfulfilled rows without touching items already in progress.

Which orders can be edited?

  • Editable: Orders in any status except Cancelled or fully shipped/fulfilled, created through Luminous directly, imported via EDI, or received through the API or External API.
  • Not editable through Luminous: Orders sourced from integrated channels (Shopify, Amazon, WooCommerce, ShipStation, NuOrder, QuickBooks, TrackStar, and similar). These remain locked to keep your channel data in sync.

How to open the edit form

  1. Find the order in the Sales Orders grid, the Sales Orders page (Operations → Sales Orders), or the order detail view.
  2. Click Edit (the action is available whenever at least one line item can still be changed).
  3. The form opens and automatically checks each line item's fulfillment state.

What you can change — per line item

Line item stateQuantityPrice / Discount / UOM / DescriptionDelete row
Not on any fulfillment order✅✅✅
Partially on a fulfillment order✅ (minimum = already-committed qty)❌ locked❌ hidden
Fully on a fulfillment order or shipped❌ locked❌ locked❌ hidden

Tip: Hovering over a locked quantity field shows a tooltip explaining the minimum allowed value and how many units are already committed.

Adding new line items

You can still add brand-new SKU rows to a partially fulfilled order — newly added rows are always fully editable.

Editing a shipped or partially shipped order

When the order status is Shipped or Partially Shipped, an amber warning banner appears at the top of the edit form:

"This order has been shipped. Changes will not affect existing shipments or fulfillment orders."

Clicking Save on these orders triggers a confirmation dialog before any changes are committed. This is intentional — edits to header fields (dates, address, channel) or unfulfilled line items are safe, but the already-dispatched shipments are not altered.

Order total recalculation

Whenever you change a quantity, price, or discount on an editable row, the order subtotal, tax, shipping, and grand total all recalculate automatically in real time before you save.

Frequently asked questions

Q: I can open the edit form but all my rows are locked — why? All your line items may already be fully assigned to fulfillment orders or shipped. If none of them are editable, the order is treated as fully fulfilled and no edits are possible.

Q: Can I lower a quantity below what's already on a fulfillment order? No. The minimum you can set is the quantity already committed to a fulfillment order. You cannot reduce it further from the sales order — cancel or adjust the fulfillment order first if needed.

Q: My order came from Shopify. Can I edit it? No. Orders originating from integrated channels (Shopify, Amazon, WooCommerce, ShipStation, etc.) are locked in Luminous to preserve sync integrity with the source channel.

Q: Will editing a line item change an invoice that was already generated? When linked invoices exist, saving a post-ship edit triggers a second confirmation dialog asking whether you want to sync the changes to those invoices. You can accept or decline that sync independently.
