Document email templates
Luminous lets you save reusable email templates for purchase orders, work orders, and production runs. Templates control the default subject, body, CC/BCC addresses, whether a PDF is attached, and which PDF layout to use.
Where to find templates
Go to Settings → Email Templates. Templates are listed by document type (Purchase orders, Work orders, Production runs).
Template scopes
| Scope | What it means |
|---|---|
| System | Built-in fallback used when no other template is set. |
| Tenant (default) | Your saved default — applies to every supplier unless overridden. |
| Supplier template | A template saved specifically for one supplier; picked up automatically when emailing that supplier. |
Creating a template
- In Settings → Email Templates, click New template for the relevant document type.
- Give it a name, write the subject and body using placeholders (e.g.
{{ company.name }},{{ documents }}). - Set default recipients (all contacts, primary contact, or specific contacts), CC/BCC, and attachment settings.
- Click Save. Optionally mark it as the default so it pre-loads in the composer.
Supplier-specific templates
In Settings → Email Templates, click New Template. Under Used for, choose One supplier and pick the supplier. That template loads automatically whenever you email that supplier. The supplier is locked once saved, so create a new template to change it.
Editing a template from inside the composer
In the composer, open the Message section. After changing the subject or body:
- Click Update template to save your edits back into the current template.
- Click Save as new template to create a fresh template without modifying the original.
Available placeholders
Click the placeholder menu inside the body editor to see all available merge fields for the document type you are composing. Common placeholders include:
{{ company.name }}— Supplier / co-manufacturer name{{ document.number }}— Document number{{#documents}} … {{/documents}}— Loop over all documents in the email{{#single}} … {{/single}}— Render only when the email contains one document
