Use this when a bill, payment, prepayment or credit is missing from QuickBooks, or you want to confirm it synced.
This feature is rolled out behind a feature flag. If you don't see the QB columns or buttons, ask your Luminous contact to enable it for your workspace. Sync status and the Push/Retry buttons only appear for records on a QuickBooks-connected account.
Where to see sync status
- Bill detail: a QuickBooks status chip shows near the top of the page. In the QuickBooks section, status and QuickBooks ID show only after the bill syncs. The payments, prepayment applications and vendor credit applications tables each have a QB Status column. Statuses include synced, pending, failed and not synced. Hover a failed status to read the error message from QuickBooks.
- Purchase order detail: the payments table shows a QB status for each PO payment.
- Bills page, PO Payments tab: prepayments show their sync status here.
Push or retry a sync
- Open the record. Use the bill’s page for bills and bill payments, and the purchase order for PO payments.
- If the bill hasn’t been posted yet, click Post to QuickBooks and confirm. This marks the bill as posted and queues it for sync.
- To send it again later, or if it failed, click Push to QB on the bill (or Push on a payment row) and confirm.
- Luminous queues the sync. Refresh the page to see the updated status.
When the button doesn't appear or the push is refused
- The record is already synced to QuickBooks, or a sync is pending.
- A bill is still a draft. Release it first.
- A prepayment is voided.
- A prepayment application or vendor credit application is reversed.
- A vendor credit application can only be pushed once its bill is posted. If the bill isn't in QuickBooks yet, the bill is synced and the credit goes with it.
- You need permission to push to QuickBooks.
