How the QuickBooks PO number is built

When Luminous pushes a purchase order to QuickBooks Online, it fills the QuickBooks PO number field with a prefix followed by the Luminous purchase order ID. By default the prefix is lum_PO-, so a PO with ID 1234 appears in QuickBooks as lum_PO-1234.

The number is always built this way. It does not use QuickBooks' own internal record ID.

Can I change the prefix?

Yes. The prefix is a per-account setting. If a custom prefix is set, Luminous uses it in place of lum_PO-. If the setting is blank, Luminous goes back to the default.

This setting does not appear on the Settings → QuickBooks screens (including Account Mappings), so you can't change it yourself. To change it, for example to LPO-:

  1. Contact Luminous Support.
  2. Tell them the exact prefix you want. Include any dash or underscore, because the prefix is placed directly in front of the PO ID with nothing added in between. LPO- gives LPO-1234, while LPO gives LPO1234.
  3. Support updates the setting for your account.

What to expect afterward

  • The new prefix is used the next time a PO is pushed to QuickBooks.
  • This article doesn't cover whether POs already in QuickBooks get their numbers renamed. Luminous links each synced PO to its QuickBooks record and updates that record on later syncs. Check one of your existing POs in QuickBooks after the change to see its number. If you need older POs renumbered, ask Support.
  • Luminous doesn't offer an "unsync" action to detach a synced PO. See the related article below.
