Drive (formerly File Cabinet) is connected to the rest of Luminous. You can pick files from Drive instead of re-uploading them, and Luminous can file copies of some documents into Drive for you.

Availability: Drive features are turned on per account. The "From Drive" buttons only appear if Drive is enabled for you and your role includes View Drive. Automatic filing is a separate setting. If you don't see these options, contact your Luminous administrator.

Attach Drive files to a sales order (also deals and lots)

  1. Open the sales order and go to its Attachments tab.
  2. Find the From Drive section.
  3. Click Attach from Drive.
  4. In the picker, browse or search your Drive folders, select one or more files, and click Attach.

The same From Drive section appears on a deal's Attachments and on a lot's Attachments.

  • Attaching links the file to the record. It does not copy the file, and the file stays in Drive.
  • To detach a file, open the row's menu and choose Remove from this record. The file is still in Drive.
  • Attaching or removing files requires permission to edit the record. Without it you can still open the linked files.

Add Drive images to a product

  • Product Builder: in the product image field, click From Drive next to Choose an image, then pick an image.
  • Existing SKU: on the SKU's detail page, use the Add images from Drive button. Select one or more images and click Add to this SKU. The images are copied into the SKU's images, and a message confirms how many were added.

Attach Drive files to a purchase order email

  1. Open the email composer for a purchase order. This is the same composer used to email POs and other documents to suppliers.
  2. In the attachments area, click From Drive, next to the file upload.
  3. Select one or more files and click Attach.

The files go out alongside the generated PO PDF. Limits:

  • An email can carry up to 10 extra files. Any beyond that are not added, and you'll see a message.
  • Each file must be 10 MB or smaller. A larger file is refused.
  • If you lose access to a Drive file before you send (for example, it was deleted or you no longer have access), the send is blocked. Remove the file and attach it again.

What Luminous files automatically

When automatic filing is on, Luminous puts copies into Drive without you doing anything. These copies appear under the Sales Orders and Purchase Orders system folders, in a folder for each record. (Other record types, such as invoices, work orders and customers, have their own system folders.)

  • Files you upload to a sales order, deal or lot Attachments tab: a copy is filed in that record's Drive folder. Deleting the original attachment later does not remove the Drive copy.
  • Documents you email: a PO, work order, invoice or statement that you email is filed as a PDF in that record's Sent folder. There is one file per record and document type. If you send different content later (the PDF is regenerated each time), it is saved as a new version of the same file. Re-sending identical content files nothing new, and sending to several recipients still creates one copy.
  • Files you upload in the email composer: these are also filed in the record's Sent folder.
  • Drive files you attach to an email: these are not copied again. Luminous links them to the record and marks them as emailed.
  • Downloading or printing a document is not filed. Only documents that were emailed are.

If filing fails for any reason, your upload or email still goes through as normal.

If you move a filed copy to Trash, the next send files a fresh copy.
