Assigning lots to PO line items from the grid
For SKUs with lot tracking enabled, you can assign or change the lot number on each purchase order line directly in the Line Items grid — either one line at a time or in bulk.
Where to find it
Go to Purchase Orders and open the Line Items tab. The Lot column appears on the right side of the grid and is editable only for lot-tracked SKUs.
Assigning a lot to a single line
- Click the Lot cell on a lot-tracked line. (Non-lot-tracked lines show a read-only blank — clicking them does nothing.)
- A dropdown opens showing existing lots for that SKU. Select the lot you want to assign.
- To create a new lot without leaving the grid, click Create lot inside the dropdown. A form opens; fill in the lot number and any optional details, then save. The new lot is assigned to the line immediately.
- To clear a lot, open the dropdown and select the blank/clear option.
The cell saves as soon as you make a selection — no additional "save" step is needed.
Bulk lot creation and assignment
When you need to create a new lot and assign it to multiple lines at once:
- Use the row checkboxes to select the lot-tracked lines you want to update. (The checkbox column is available on the cross-PO Line Items page.)
- Click Bulk Create Lot in the action bar that appears above the grid. The button label shows how many lot-tracked lines are selected.
- In the dialog, fill in the lot details. One new lot is created per distinct SKU in your selection.
- Each selected line is automatically assigned its SKU's new lot. A confirmation message appears when all assignments are saved.
Notes
- Only lot-tracked SKUs can have a lot assigned. If a SKU in your selection is not lot-tracked, those lines are skipped during bulk creation without blocking the others.
- Lots belong to a specific SKU. You cannot assign a lot from one SKU to a line for a different SKU — the system will reject the combination.
- Lot changes do not affect the line's ordered quantity, unit cost, or expected dates. Each field saves independently.
