Overview

The B2B Portal Admin Settings Console is a redesigned settings page that gives admins full control over every buyer-facing portal option — branding, product display, line items, checkout behavior, and file uploads — all from one organized location. Use it any time you need to customize how your B2B portal looks and behaves for wholesale buyers.

How It Works (Step-by-Step)

Accessing the Settings Page

  1. Log into your Luminous admin account.
  2. Click your name in the top-right corner and choose Settings.
  3. Select B2B Portal from the Settings menu under Operations.
  4. The page opens with five tabs: Branding, Product Display, Line Items, Cart & Checkout, and Uploads.

Tab 1 — Branding

  1. Upload or replace your store logo using the existing logo uploader.
  2. Set the logo max height (enter a number between 24 and 200 pixels). A live preview shows how the logo will appear to buyers. The previous fixed height of 60 px is no longer used — this new field replaces it.
  3. Click Save.

Tab 2 — Product Display

  1. Product List
    1. Set the Default product view to Grid or List. Buyers' personal preference (stored on their device) will override this default.
    2. Toggle Sort products A–Z on or off (existing setting).
  2. Inventory visibility
    1. Toggle Hide on-hand quantities on or off - When on, the “Available” column is hidden from buyers across product lists, cards, and variant tables.
    2. Hide incoming quantities - When on, the “Incoming” column is hidden from buyers.
  3. Per-warehouse-group inventory visibility controls are at the bottom of this tab.
  4. Click Save.

Tab 3 — Line Items

  1. Toggle Show description column on or off. When off, the per-line description field is hidden entirely for buyers.
  2. If the toggle is on, update the Column header label field to rename the column (e.g., change "Description" to "Customer Notes" or any custom label you prefer).
  3. Click Save.

Tab 4 — Cart & Checkout

  1. Select a default product template from the dropdown.
    1. SKUs & kits template - Default catalogue scope for buyers without a client-specific template.
  2. Configure the Cart & checkout permissions options:
    1. Override Approval Process - When on, portal-created orders skip the standard approval workflow.
    2. Approval Process for Unpaid Orders - When on, an order placed without payment routes through approval before fulfillment.
  3. Fill in any desired text fields: Payment Instructions, PO Display Message, Company Footer, Checkout Page Description, Card-Details Disclaimer.
  4. Toggle the add-to-cart and checkout permission settings as needed:
    1. Allow add-to-cart at $0 price - When on, buyers can add items priced at $0 (e.g., samples) to the cart.
    2. Allow add-to-cart out of stock - When on, buyers can backorder out-of-stock items.
    3. Allow checkout at $0 total - When on, an empty-or-zero-total cart can still be checked out.
    4. Allow no-payment checkouts - When on, buyers can complete checkout without entering a payment method (e.g., NET-30 buyers).
  5. Click Save.

Tab 5 — Uploads

  1. Enter a value in the Image upload max size field (between 1 and 50 MB). Previously the upload limit was fixed at 2 MB with no way to change it. Enter the number in megabytes — the system converts it to bytes automatically.
  2. Click Save.

Setting SKU-Level Visibility (on the Master SKU)

  1. Navigate to any master SKU in Luminous (Products or Inventory > open a SKU).
  2. Click the B2B Portal tab next to Supplier SKUs.
  3. Toggle Visible in B2B portal — when off, the SKU is hidden from buyers. Existing orders are not affected.
  4. Toggle Include on invoice — when off, the SKU won't render as a line on generated invoices (useful for internal service or fee SKUs). Note: the invoice PDF template hookup for this toggle is queued as a follow-up; the toggle saves correctly today.
  5. Click Save.

Key Features / Options

Branding tab — Logo max height: Accepts 24–200 px. The live preview updates as you type so you don't have to guess how large the logo will render for buyers.

Product Display tab — Hide on-hand quantities: Controls the number display on the product list, grid cards, and the variant SKU grid. It works alongside the existing "Hide incoming quantities" setting — you can enable either or both independently.

Product Display tab — Default product view: Sets the initial view when a buyer logs in. Once a buyer switches to their preferred view, their choice persists on their device and overrides the tenant default going forward.

Line Items tab — Column header label: Only editable when "Show description column" is toggled on. Renaming this column changes the label buyers see in the cart, order confirmation, and order history.

Uploads tab — Image upload max size: Entering 10 stores the value as 10,485,760 bytes. You don't need to do the conversion manually.

B2B Portal tab on master SKU — Visible in B2B portal: Hiding a SKU this way doesn't affect any active or historical orders — it only removes the product from the buyer's browsable catalog.

Tips & Best Practices

  • Set the logo height before announcing a portal rebrand. The live preview in the Branding tab saves you from publishing a logo that's too large or too small — test it before saving.
  • If you're renaming the description column, brief your team first. Any internal SOPs or customer-facing guides that say "fill in the Description field" will become confusing if buyers suddenly see a column called "Customer Notes."
  • Use "Hide on-hand quantities" cautiously if you operate on tight inventory. Buyers who can't see counts may over-order. You can pair it with the existing "Hide incoming quantities" toggle to control exactly what buyers see.
  • When setting image upload max size, consider your buyers' file habits. Setting it too high (e.g., 50 MB) could slow portal performance for buyers with large images. 10–15 MB is a reasonable starting point for most product photography.
  • The "Visible in B2B portal" SKU toggle is safe to flip off at any time — existing orders won't be affected. It's a clean way to retire end-of-life products from the buyer-facing catalog without deleting anything.

FAQs & Troubleshooting

  • I saved a new logo max height but the portal still shows the old size. Clear your browser cache or open the portal in an incognito window. Logo sizing is sometimes cached by the browser.
  • The "Column header label" field is grayed out. This field is disabled when the "Show description column" toggle is off. Turn the toggle on first, then update the label.
  • I set "Hide on-hand quantities" to on but buyers can still see inventory numbers. Check the per-warehouse-group settings at the bottom of the Product Display tab. Those warehouse-level overrides take precedence and may be set to show inventory numbers.
  • The "B2B Portal" tab isn't showing on my master SKU. Confirm you're opening a master SKU (RFQ detail), not a variant or supplier SKU record. The tab only appears on the master SKU level.
  • I set the image upload max size to 20 but uploads still fail above 2 MB. This may be a browser or network-level limitation, or a caching issue. Try refreshing the admin panel fully (Ctrl+Shift+R / Cmd+Shift+R) after saving. If the problem persists, contact support.
  • The "Include on invoice" toggle is saved but invoices still show the SKU. The invoice PDF template hookup for this toggle is a queued follow-up and has not shipped yet. The schema and toggle save correctly, but the actual line-skip in invoice rendering will be released separately.
  • Order statuses in the buyer portal look different than what I told customers to expect. Status labels were humanized in this release. DRAFT is now "Pending Review," ACTIVE is "Active," PENDING is "Awaiting Approval," and COMPLETED is "Completed." Fulfillment statuses were updated similarly. Update any customer-facing communication that references the old technical labels.
