Overview
Automatic Reconciliation is a self-learning feature inside Inbound Shipments. As you manually reconcile shipments, Luminous tracks the pattern (destination, WMS status, origin address) and suggests a saved rule so that future shipments matching the same pattern reconcile into transfer orders on their own — no manual matching required.
How It Works (Step-by-Step)
- Go to Inventory > Inbound Shipments.
- Select the Pending tab to view shipments awaiting reconciliation.
- Click Auto Reconcile (top-right of the Pending view) to open the Automatic reconciliation panel.
- Toggle Run saved rules automatically on. This lets Luminous apply your saved rules nightly, and immediately any time you save a new rule.
- Review the Saved Rules list (use Create custom rule to add a rule manually instead of waiting for a learned pattern). Each rule is named by its flow, e.g. DETECK → BC FBA, and shows:
- Matches When – the conditions a shipment must meet (Destination, WMS status, Origin address, Shipment state).
- Reconciles As – how a match gets processed (Transfer from, Channel, Ship behavior, and how many past reconciliations the rule "learned from").
- Rule History – the date the rule was saved.
- Use the toggle on each rule card to set it Active or Paused without deleting it.
- Use the trash icon to permanently delete a rule.
Key Features / Options
| Feature | Description |
|---|---|
| Run saved rules automatically | Master switch. When on, all active rules run nightly and immediately on save. When off, rules are visible but won't auto-apply. |
| Matches When | The conditions Luminous checks (destination, WMS status, origin address, shipment state = Pending) to decide if a rule applies. |
| Reconciles As | The outcome applied on match: which entity the transfer is created from, the channel, and the ship behavior (e.g., Auto-mark shipped). |
| Learned From | Shows how many past manual reconciliations informed the rule — higher counts generally mean a more reliable match. |
| Active / Paused | Per-rule toggle to turn a specific rule on/off independently of the master switch. |
| Delete | Removes a rule permanently; matching shipments then fall back to manual reconciliation. |
Tips or Best Practices
- Start with rules that have a higher "Learned From" count — they're based on more consistent history and are less likely to misfire.
- Pause a rule instead of deleting it if you want to temporarily stop automation without losing its learned pattern.
- Review paused rules periodically; a paused rule with a high learned-from count may just need a quick check before reactivating.
- Turn off the master Run saved rules automatically toggle temporarily if you're bulk-importing shipments and want to reconcile them manually first.
FAQs / Troubleshooting
Q: Why didn't a rule apply to a shipment I expected it to match?
A: Check that the shipment's destination, WMS status, origin address, and shipment state all match the rule's "Matches When" conditions exactly, and confirm the rule itself is Active (not Paused).
Q: Does pausing a rule affect shipments it already reconciled?
A: No — pausing only stops future matches. Previously reconciled transfers are unaffected.
Q: What happens to shipments that don't match any saved rule?
A: They remain in Pending and require manual reconciliation, as described in Understanding Inbound Shipments and Reconciliation.
