Why Amazon FBM orders can be held back from fulfillment

For accounts using the TrackStar Cart integration (Amazon Fulfilled by Merchant), Luminous now holds back fulfillment order creation while Amazon reports the order as payment-pending.

The payment-pending hold

When Amazon first places a buyer's order, it can briefly sit in a Pending payment state — the buyer has submitted the order, but Amazon hasn't confirmed the charge yet. During this window the order is imported into Luminous as a sales order, but no fulfillment order is created.

  • Is imported into Luminous and appears in your Sales Orders list as normal.
  • Does not receive a fulfillment order — Luminous waits for Amazon to confirm payment before reserving warehouse stock.

This prevents inventory from being allocated to orders that the buyer may still cancel before payment completes.

What happens when Amazon confirms payment

You do not need to do anything. Once the next order sync picks up Amazon's updated status (typically within minutes, depending on your sync schedule), Luminous detects the transition from payment-pending to confirmed and automatically re-triggers fulfillment order generation for that order. The fulfillment order appears just as it would for any freshly posted order.

How to confirm this is the reason

  1. Open the sales order in Luminous and check its activity log.
  2. Look for: "Fulfillment order auto-generation held - the order is still pending payment at Amazon. It will be created automatically once Amazon confirms the order."
  3. If you see it, no action is needed. The fulfillment order is created automatically once a later sync picks up Amazon's confirmed status.

Incoming Filters and channel assignment

If your TrackStar Cart integration has Incoming Filters configured on a channel, only orders that match those filters are accepted by that channel. An order that matches no configured filter will not be imported into Luminous at all — it will not create a sales order. This is intentional: it prevents orders from the wrong Amazon marketplace or region from landing on an unintended channel.

If you expect an order to appear but it does not, check that its attributes (marketplace, currency, etc.) satisfy at least one channel's Incoming Filters.

When to contact support

  • The order's status has been confirmed by Amazon (not payment-pending) for more than one full sync cycle and still has no fulfillment order.
  • Orders that should match a channel filter are not being imported at all.
  • You need the payment-pending hold behavior reviewed or adjusted for your account.
