Why Authorize.net card payments were missing from QuickBooks
Luminous uses a specific field on each payment record to track whether it has been pushed to QuickBooks. When that field is already populated, the sync engine treats the payment as "already sent" and skips it β no error is logged.
Before this fix, Authorize.net card payments (both B2B portal checkout payments and invoice payment-link payments) wrote the gateway transaction reference into that same field. The QuickBooks sync saw it populated and silently skipped the payment. The invoice in Luminous showed as paid, but no corresponding payment appeared in QuickBooks.
This affected tenants using Authorize.net as their payment gateway with QuickBooks Online sync enabled.
Note: Stripe is not affected β Stripe uses that field for a different purpose that is handled separately.
What changed
A fix has been deployed that routes the Authorize.net gateway transaction reference to its own dedicated field, leaving the QuickBooks sync field clear. The sync engine can now correctly identify and push new Authorize.net card payments to QuickBooks without any manual intervention.
This fix applies to all new Authorize.net card payments automatically. You do not need to change any settings.
How to check if you have missing payments
Sign in to QuickBooks and compare received payments against the invoices that show as paid in Luminous:
- In Luminous, go to Invoices and filter by Payment Status: Fully Paid or Partially Paid.
- Cross-reference those invoices in QuickBooks. If a Luminous invoice shows paid but QuickBooks shows it as still open (or has no matching payment applied), that payment may have been skipped.
Alternately, look for invoices in QuickBooks with an open balance that you know were paid through the B2B portal or a payment link.
Recovering historical missing payments
Payments that were skipped before this fix was deployed can be recovered. The recovery process:
- Identifies only payments that match the specific skipped pattern (Authorize.net card charges, successfully processed, linked to a QuickBooks invoice, never previously synced)
- Moves the transaction reference to the correct field
- Re-queues each payment through the standard QuickBooks payment sync
- Does not touch payments that were already correctly synced to QuickBooks
To request a recovery run for your account, contact Luminous support. Provide the date range you believe is affected, and support will run a dry-run preview first to confirm the list of impacted payments before making any changes.
After recovery
Once synced, payments will appear in QuickBooks applied to their matching invoices, exactly as if they had been pushed at the time of the original charge. QuickBooks invoice balances and payment statuses will update accordingly.
If a payment still does not appear in QuickBooks after recovery, check:
- That the associated invoice has been synced to QuickBooks (look for the green QBO icon in the Sync Status column on the Invoices page)
- That the order linked to the invoice is not in Void status
