Fulfillment order status overview

Every fulfillment order (FO) in Luminous carries a Status that tells you exactly where it sits in the pick-pack-ship lifecycle. The statuses shown in the Fulfillment Orders grid are described below, along with what moves an order into each one.

Status-by-status reference

Pending

The FO has been created and is waiting to be pushed to a fulfillment channel. This is the default starting status for most new FOs (whether auto-generated or created manually) when the channel is not configured for wave or scheduled-release mode.

Also set when: An On Hold order is released — it returns to Pending.

Planned

The FO has been created but is intentionally held back by your fulfillment channel's wave policy or scheduled-release configuration. Planned orders are not pushed to the warehouse until the wave is released or the scheduled time arrives.

Inventory note: By default, Planned FOs do not count toward your pending inventory figures. This can be changed in Inventory Settings.

Awaiting Shipment

The FO has been successfully pushed to an external fulfillment channel (for example, ShipStation or TrackStar/a 3PL). The warehouse has received the order and is preparing to ship it.

Label Printed

A shipping label has been bought and printed, but the order hasn't been marked shipped. This status only appears when Mark orders Shipped when their label prints (Settings → Fulfillment) is turned off. When it's on (the default), buying a label moves the order straight to Shipped. Inventory stays reserved until the order is marked shipped.

Partially Shipped

Some line items on the FO have been shipped and confirmed, but at least one line item still has unshipped quantity remaining.

On Hold

The FO is paused and will not be auto-pushed. On Hold can be set:

  • Manually by an operator using the Hold action.
  • Automatically by a hold-until-date rule.

To resume the order, use the Release action, which returns it to Pending.

Shipped ✓ (terminal)

All items on the FO have shipped. Inventory has been deducted and the channel (e.g., Shopify) has been notified. No further changes can be made once an order reaches Shipped.

Can be reached from: Pending, Awaiting Shipment, Label Printed, On Hold, or Error — via the "Mark Shipped" action or when the fulfillment channel sends a shipment confirmation.

Cancelled ✓ (terminal)

The FO was cancelled. No further changes can be made.

Can be reached from: Pending, Awaiting Shipment, Label Printed, On Hold, or Error — via the Cancel action.

Error

Luminous attempted to push the FO to the external fulfillment channel but the push failed. This is not a terminal status — an operator can retry, hold, cancel, or manually mark the order shipped to recover it.

The Error Message column in the grid will describe the reason for the failure.

Action Required

The external fulfillment system (OMS/WMS) has flagged an exception on this order — for example, a missing item or a warehouse exception code. This signals that human intervention is needed before the order can proceed.

Which statuses reserve inventory?

By default, pending inventory is based on the status of the sales order. To choose which fulfillment order statuses count toward pending instead, go to Settings → Inventory → Stock levels → Pending and turn on Enable count pending based on fulfillment orders. You can then pick the statuses. Planned is excluded by default.

  • Pending
  • Awaiting Shipment
  • Label Printed
  • Partially Shipped
  • On Hold (configurable — can be turned off)
