Overview
Luminous now allows individual line items within a sales order to be cancelled without cancelling the entire order. When a line item is cancelled:
- The cancelled item is removed from the order total.
- Inventory pending quantities automatically update.
- The cancellation reason is recorded.
- Orders from third-party integrations (such as Shopify) will automatically mark removed items as cancelled line items instead of creating return/refund orders.
This feature helps keep order totals and inventory counts accurate when items are removed from an order.
Manually Cancel a Line Item in Luminous
Follow these steps to cancel an item within a sales order.
1. Open the Sales Order
Navigate to the sales order that contains the item that needs to be cancelled.
2. Locate the Line Item
Find the specific product line item within the order.
3. Cancel the Item
Click the ⋮ menu at the end of the line item row and select Cancel Item.
4. Select a Cancellation Reason
Optionally enter a reason for cancelling the item in the Cancel Reason box (free text, up to 500 characters).
Example:
- Customer request
- Item unavailable
- Order adjustment
5. Confirm Cancellation
Click Confirm Cancel.
Once confirmed:
- The line item status will change to Cancelled
- The order net total automatically updates
- The cancelled item is excluded from the order total
How Inventory Updates After Cancellation
When a line item is cancelled, Luminous automatically updates the Quantity Log.
The system will:
- Deduct the cancelled quantity from the Pending Count
- Record the cancellation event in the product's inventory history
To view this:
- Open the product from the order
- Navigate to Quantity Log
- Locate the entry showing the cancellation adjustment
How Cancelled Items Work with Third-Party Integrations
When an order is synced from a third-party platform (such as Shopify), Luminous automatically detects removed items.
Previous Behavior
Previously, cancelled items from integrations were processed as Return/Refund orders.
Updated Behavior
Now, removed items are handled as Cancelled Line Items within the original order.
The system will:
- Mark the item as Cancelled
- Record the reason (e.g., Cancelled from Shopify)
- Update inventory pending counts
- Recalculate the order total based only on remaining items
This keeps the order record cleaner and prevents unnecessary return/refund entries.
Tips
- Cancelling a line item does not cancel the entire order.
- Inventory pending quantities update automatically.
- The order total always reflects only active (non-cancelled) items.
- Cancellation reasons help maintain a clear order history.
- Line items cannot be edited for orders imported from Integrations. Orders from external systems cannot have their line items modified to maintain data integrity. Custom fields can still be edited. To cancel line items on these orders, edit the order from the OMS where the order came from.
