Learn how to edit permissions and add team members as users.
What?
You have the ability to add users and modify the features they have permission to access. There are default roles in Luminous, but you have the capability to add new ones and edit existing roles.
Why?
Some team members only need limited access to the information contained in Luminous. This allows you to add all of your coworkers to work in the same space, with access to modules applicable to their role.
How?
1) Open Staff
- Go to Manage → Staff.
You’ll see the staff table with + Add New at the top right and a ⋮ menu beside it containing Manage Roles, Manage User Groups, Security Settings, Switch Assignments, and Transfer Assignments.
2) Add or Update a Staff User
- Add New: Click + Add New, enter name, email, role, and other details → Save.
- Edit / Delete / Reset Password: Use the ⋮ menu on a staff row to update details, reset the user’s password, or remove the account.
3) Reassign Work (optional)
- Use Switch Assignments or Transfer Assignments (in the ⋮ menu next to + Add New) to move records between users when roles change.
4) Manage Roles
- From Manage → Staff, click Manage Roles (in the ⋮ menu next to + Add New) to open the Roles list (or navigate to Manage → Staff → Roles if available in your build).
- Create Role: Click Create Role (top-right).
- Edit Role: Select a role in the left-hand Roles list to view its permissions; click a permission to toggle it inline, or use Edit (legacy).
5) SKU Admin and Sourcing Assignee
The “Sourcing Assignee” field appears as a column on the SKU list view but is not editable through the SKU Edit screen. This role can only be assigned to a staff member who has the Factory Admin role set under the Manage tab.
Follow the steps below to assign a Sourcing Assignee.
- Navigate to Manage > Staff
Go to the Manage tab in the left-hand menu and select Staff. - Edit the staff member's role
Find the staff member you want to assign as a Sourcing Assignee.
Click the three-dot menu (⋮) next to their name and select Edit. - Assign the Factory Admin role
Under the Role dropdown, select Factory Admin.
Click Submit to save the changes. - Go back to the SKU list view
Now that the staff member has the correct role, they can be assigned as a Sourcing Assignee from the SKU list.
