Overview

When you use the Auto Mark Sales Order as Shipped feature on a Transfer Order or Inbound Shipment reconciliation, Luminous needs to decide how to handle inventory if the ship date you choose is in the past. The Skip on-hand deduction for past ship dates checkbox controls this behavior.

Where you'll see this setting

This option appears in two places:

  1. Transfer Orders — When creating or editing a Transfer Order, check Auto Mark Sales Order as Shipped and enter a Ship Date. The checkbox appears beneath the date field.
  2. Reconcile Inbound Shipment — When reconciling an inbound shipment and Auto Mark SO as Shipped is enabled:
    • If you enter the ship date manually, the setting appears as a checkbox.
    • If the ship date is derived automatically from each shipment's TrackStar created date, the setting appears as two radio buttons: Ledger only and Deduct stock.

Note: This setting only takes effect when the ship date you've selected is before today. If the ship date is today or in the future, the setting has no impact.

What the two options mean

✅ Checked — Skip on-hand deduction (Ledger only) (default)

Luminous does not change your current on-hand balance. Instead, it writes backdated inventory log entries stamped with the historical ship date for audit and cost-history visibility.

Use this when: The goods already physically left your warehouse in the past and your on-hand balance in Luminous already reflects that (e.g., you are reconciling a historical shipment after the fact). Deducting again would incorrectly reduce your stock.

☐ Unchecked — Deduct stock

Luminous deducts from your current on-hand balance as it would for any normal shipment, then backdates the resulting inventory log entries to the specified ship date.

Use this when: The shipment happened in the past but Luminous was never updated, so the current on-hand balance still includes those units. You want the balance corrected and the history to reflect the correct date.

Quick-reference table

ScenarioRecommended setting
Stock already moved; Luminous on-hand is already correct✅ Checked (Ledger only)
Stock moved in the past but Luminous still shows it as on-hand☐ Unchecked (Deduct stock)

Default behavior

The checkbox is checked by default, so Luminous defaults to the safe, ledger-only path that avoids unintended stock adjustments when auto-shipping historical records.

What happens in the background

  • Ledger only: A backdated on-hand subtract log entry is written with the ship date you specified. Your current on-hand quantity in Luminous is not changed. The log is flagged internally as a ledger-only entry.
  • Deduct stock: A normal shipment inventory deduction runs against your current on-hand balance. The resulting quantity log entries are then backdated to the ship date you specified.

In both cases, the sales order is marked as Shipped and the inventory history reflects the date you chose.
