The Send Shipping as a Line Item setting controls how an invoice's shipping charge is sent to QuickBooks Online (QBO) when Luminous pushes the invoice.
Where to find it
- Go to Settings > QuickBooks.
- Open the Account Mappings tab.
- Find the Send Shipping as a Line Item toggle. It sits just below Send Tax as a Line Item.
- Switch it on or off, then click Save Account Mappings.
The setting is off by default.
What happens when it is ON
- When an invoice has a shipping amount greater than zero, Luminous adds shipping as its own line on the QuickBooks invoice. The line is named Shipping, and QuickBooks shows it under Product/service like any other line. It does not use QuickBooks' built-in shipping field.
- Luminous uses a QuickBooks item named Shipping for that line. If your QuickBooks company doesn't have one yet, Luminous creates it once. It is a non-inventory item that uses the income and expense accounts configured for the integration.
- This works whether or not the Shipping field is turned on in your QuickBooks sales form settings.
- Invoices with no shipping amount (zero) don't get a shipping line.
What happens when it is OFF
Luminous keeps the standard behavior, which depends on your QuickBooks sales form settings:
- If Shipping is turned on in QuickBooks under Settings > Account and Settings > Sales > Sales form content, Luminous sends shipping for the invoice.
- If Shipping is turned off there, QuickBooks won't accept or show shipping, and the shipping amount won't appear on the synced invoice.
Tips
- If shipping is missing on invoices in QuickBooks, you have two options: turn the shipping field on in QuickBooks, or turn on Send Shipping as a Line Item in Luminous. See SOP: Shipping or Discount Fields Not Syncing to QuickBooks.
- The setting applies when invoices are pushed. After you change it, re-sync any invoices that have already been sent. Use the QuickBooks icon in the Sync Status column on Sales > Invoices, or Bulk Actions > Sync To Quickbooks.
