Overview

When BOM component substitutions are configured on your account, work orders and production batches can optionally count substitute stock toward component shortage calculations. By default, the Short column reflects primary-component stock only. Toggling Include substitutes recalculates shortages to add substitute coverage on top of primary stock.

Where to find the toggle

Work Order — Bill of Materials table

On a saved work order, a swap icon (⇄) appears in the Short cell of any planned component that has an active substitute. Click it to include substitutes for that row only. The cell then shows primary shortage → shortage after substitutes, and a Substitute column appears. Click the ⓘ icon to see which substitutes are covering the line.

Production Run — Shared Components

The legend bar at the top of Shared Components has an Include substitutes checkbox ("Count approved substitute stock in Shortage. Off shows primary-only shortage."). Checking it recalculates every component's shortage at once.

How the calculation works

  • Primary only (default): shortage = required quantity − on-hand primary stock at that warehouse.
  • With substitutes: each substitute SKU's available stock is divided by the configured quantity-per-primary (how many substitute units replace one primary unit), and that scaled quantity is added to the primary stock before calculating shortage.
  • Only substitutes with an active effectivity window (not yet obsolete, effective date reached) are included.
  • If a warehouse only holds substitute stock and none of the primary SKU, that warehouse still appears and its shortage reflects the substitute coverage.

What 'producible quantity' shows on the Stocks page

When this capability is enabled, the Available via assembly figure on the Stocks page also incorporates substitute stock, so the number matches what you see in the BOM shortage view.

Notes

  • This capability is only available when BOM component substitutions have been enabled and configured on your account. Contact your Luminous account manager if you do not see the toggle.
  • Acting on a substitution — actually swapping the component on the order — is always a deliberate manual step. The toggle only affects how shortage is displayed; it does not change which materials are pulled or reserved.
  • The Qty Available Via Assembly figure on the Stocks page does not include substitute stock.
