Overview
The Purchase Orders Grid is a new, high-performance list view for purchase orders. It lives alongside the classic Purchase Orders list — both pages remain available and neither replaces the other.
Access: Navigate to Purchasing → Purchase Orders then select the Grid view, or go directly to
/orders/grid. The grid may be gated by a feature flag; contact your Luminous admin if you do not see the option.
Status tabs and live counts
The left-hand sidebar shows five preset tabs, each with a live count of matching POs:
| Tab | What it shows |
|---|---|
| All | Every PO regardless of status |
| Active | POs with a status below Completed |
| Draft | Draft POs only |
| Pending Approval | POs awaiting an approval decision |
| Completed | Fully completed POs |
Click any tab to instantly scope the grid. Badge counts refresh automatically after each grid load and after bulk actions.
Columns
Standard columns include PO #, Alternate IDs, Supplier, Products (a summary of line-item SKUs), Warehouse, Order Date, Invoice Date, Estimated Arrival, Requested Ship Date, Quantity, Total Received, Total Cost, Total Paid, Payment Status, Order Status, Approval Status, Sync Status, Email Status, Supplier Order Type, and Tags.
Cost columns (Total Cost, Total Paid) are only visible to users with the skuUnitCost.read permission.
Custom field columns
Every Purchase Order custom field your account has defined is automatically added as its own filterable column. Text fields support contains / blank / not-blank filters; dropdown and multi-select fields use a set-picker filter populated with your configured options. Custom-field column positions and visibility are saved alongside standard columns.
Managing columns
Click the Columns panel icon on the right-hand AG Grid toolbar to show, hide, pin, or reorder columns. Changes are persisted in your browser so they survive navigation and preset switches.
Filtering
Each column has a floating filter bar directly below the header — type or select a value to filter immediately (text filters debounce by 1 second). For more options (date ranges, numeric comparisons), open the Filters side panel.
Filters compose additively with the active status tab, so you can, for example, filter to Active POs and then further narrow by Supplier or a custom field value.
Saving filter presets
Presets let you save any combination of column filters and column state under a named label and reload it in one click.
- Apply the filters and column arrangement you want to save.
- Click Save Preset at the bottom of the left-hand sidebar.
- Enter a name and confirm.
- The preset appears in the sidebar below the built-in status tabs.
To apply a saved preset, click its name. To edit or delete a preset, click the three-dot menu (⋮) next to it.
Presets are saved per user and persist across sessions.
Per-row actions
Click the ⋮ menu at the end of any row to access:
- Edit Order / Copy to New Order
- Status: Mark as Completed, Update Status, Update Estimated Arrival
- Receiving: Receive PO, Create Shipment, Print Product Labels
- Payments: Add/View Payments
- Sharing & Exports: Send to Contacts, Export PDF, Export CSV, View in QuickBooks/Xero, Push to accounting
- Approval: Approve, Reject (shown only when you can approve/reject)
- Inbound: Push as Inbound Shipment / Mark as not pushed
- Delete Order
Bulk actions
Check the box in the header row (or individual row checkboxes) to select POs, then use the Bulk Actions menu in the toolbar:
| Action | What it does |
|---|---|
| Update Status | Set all selected POs to a chosen milestone status |
| Update Estimated Arrival | Set a new arrival date on all selected POs |
| Update Requested Ship Date | Set a new ship date on all selected POs |
| Edit Fields | Open the bulk field-edit dialog for selected POs |
| Export PDF | Generate a PDF for each selected PO (template picker shown if multiple templates exist) |
| Compose and send one email per supplier for the selected POs | |
| Approve / Reject | Bulk-update approval status (shown only to users with approval permissions) |
After any bulk action completes, the grid automatically refreshes and status-tab counts update.
Tips
- Expanding a row: Click the expand arrow on any row to see a line-items detail panel for that PO without leaving the grid.
- Resetting the grid: If columns or filters get into an unexpected state, use the Reset Grid option in the toolbar to restore the default layout.
- The classic list is still available:
/orderscontinues to work exactly as before. The new grid is additive.
