Luminous can pull lot-level on-hand quantities from a 3PL/WMS connected through Trackstar. This is separate from turning on lot tracking for a product. It controls whether the stock pull writes on-hand quantity per lot, or one total per SKU.
Scope: This article covers pulling lot quantities from the WMS into Luminous. Pushing lot numbers from Luminous to the WMS is not described here.
Before you start
You need all three of these:
- A Trackstar connection for your 3PL/WMS, set up under Settings / Integrations. Your warehouse group must be managed by that connection. See How to Connect Your 3PL's Warehouse Management System (WMS) in Luminous.
- Lot tracking turned on for each product in Luminous. Only products with lot tracking enabled get lot-level quantities.
- Lot data coming back from the WMS. The WMS must return a lot list for the SKU, with a lot number, an on-hand quantity and optionally an expiration date. If it returns no lots for a SKU, Luminous uses the normal one-total-per-SKU pull for that SKU.
ShipHero is reached through Trackstar. For how that connection works, see ShipHero Integration. Whether a given WMS actually returns lots depends on that WMS and on what Trackstar passes through, so confirm this with your WMS or Trackstar contact.
Turn it on
- Click your name in the top-right corner and choose Settings / Integrations.
- Find your WMS connection. It’s listed under the WMS name (for example, ShipHero). Click the edit (pencil) icon.
- Check Track Lots. Its description reads: “pull per-lot on-hand from the WMS for lot-tracked products (remainder goes to the unspecified lot).”
- Make sure Get Products is also checked. Click Save.
If you’re connecting a WMS for the first time, these options are under Show settings you can adjust after connecting on the connection form.
What happens when it is on
- For each lot-tracked product, Luminous writes on-hand quantity per lot. The WMS lot ID becomes the lot number in Luminous, and the WMS expiration date becomes the lot's expiry date.
- Your configured quantity type (for example
sellableoronhand) still sets the warehouse total for the SKU. If that total differs from the sum of the lots, the difference is written to the unspecified lot so the warehouse total still matches.- Example: the total is 150 and the lots add up to 100. Lot A gets 100 and the unspecified lot gets 50.
- The unspecified-lot amount can be negative if the configured total is lower than the lot sum. This can happen when you use
sellableas the quantity type but the WMS reports physical on-hand per lot.
- If your warehouse group is pinned to a specific Trackstar inventory location, only lots from that location are included.
- A lot that previously had stock but no longer appears in the WMS feed is set to zero on the next pull.
When it is off
Luminous writes one total on-hand per SKU. Lot-tracked products land in the unspecified lot.
Troubleshooting
- Still seeing everything in the unspecified lot: check that Track Lots is saved, that the product has lot tracking enabled, and that the WMS actually returns lots for that SKU.
- Unspecified lot is negative or non-zero: compare your quantity type setting with the WMS lot quantities, as described above.
