Overview

When you submit a Refund Only or Return + Refund order against a sales order that was paid by card through Stripe, Luminous can send the refund to the customer's original card. It also records the refund order. You don't need a separate manual refund in Stripe.

Before you start

  • Stripe must be connected for card payments. Go to Settings → General → Payment Gateway and click Card Acceptance, then follow the Connect Stripe steps. (If you already set up Stripe for bill pay, the same account is reused.)
  • The feature must be enabled for your account. If it isn’t, contact support.
  • Your user needs the Refund to card permission for Return/Refund Orders.

Steps

  1. Go to Operations → Sales Orders, click the ⋮ menu on the original order, and choose Create Return/Refund Order.
  2. Choose Refund Only or Return + Refund, and add the lines and amounts as usual.
  3. If the order is eligible, a checkbox appears: Refund [amount] back to the original card ending ####. Tick it. A note confirms the amount that will be refunded when you save.
  4. Submit. Luminous refunds the card through Stripe and links that refund to the new refund order.

When the option is not offered

The form shows the reason. The main cases are:

  • The order has no recorded payment.
  • The order wasn't paid by card through Luminous's Stripe integration.
  • The order has more than one card payment. Refund these in Stripe so the right charge is chosen.
  • The original payment has already been fully refunded.
  • The charge couldn't be read from Stripe, so no refund is attempted.

Rules and limits

  • The refund can't be more than the amount still refundable on the original charge. If it is, lower the amount or refund it in Stripe.
  • The refund amount must be greater than zero.
  • It isn't available for Return Only orders.
  • You can't use a credit memo and a card refund on the same return.
  • If a save fails partway or the form is submitted twice, the same refund is reused. The card is not charged back twice.
  • A declined refund from Stripe is reported and no refund is recorded.
