Receiving line items directly from the PO Line Items grid

The Line Items tab (under Purchase Orders → Line Items) lets you select lines across multiple POs and open a receiving report for all of them in one step — without navigating into each PO individually.

When this is available

This action appears when:

  • The cross-PO Line Items grid is enabled on your account.
  • The bulk receive capability has been turned on for your account.
  • At least one selected line still has quantity remaining to receive.

How to receive selected lines

  1. Go to Inventory → Purchase Orders and click the Line Items tab.
  2. Use the column filters or the Filters panel to narrow the grid to the lines you want to receive (for example, filter by supplier, warehouse, or SKU).
  3. Tick the checkbox on each line you want to receive. You can select lines across different POs in the same session — the count shown in the selection bar reflects the full cross-page selection.
  4. The selection bar shows the count of receivable lines (those with remaining quantity to receive). Click the Receive button — for example, (3) Receive — to open the receiving report form.
  5. The receiving report form opens with an Add from Record dialog where your selected lines are already ticked. Click Done to add them, then review quantities, add any extra costs, and save as normal.
  6. After the report is saved, the grid refreshes and the lines' remaining-to-receive figures update automatically.

Notes on line eligibility

  • Partially shipped lines (remaining to ship > 0) and fully shipped lines (remaining to receive > 0, but nothing left to ship) are both selectable and can travel to the receiving form.
  • Lines that are already fully received (nothing left to receive) cannot be selected for this action and are excluded from the Receive count.
  • If your selection is a mix of shippable and receivable lines, the Build shipment and Receive buttons each show only the count of lines eligible for that specific action, so no action acts on a line it cannot affect.

While lines are selected you may also see Build shipment, Add to existing shipment, and Bulk Create Lot buttons, depending on which capabilities are enabled on your account. Each operates on the subset of selected lines that qualifies for it.
