Linking a prepayment to multiple purchase orders

A single prepayment can now be associated with more than one purchase order from the same vendor. This is useful when one advance payment covers a consolidated vendor shipment that spans several POs.

When creating a new prepayment

  1. Go to Inventory → Bills → Prepayments and click Record Prepayment.
  2. In the Purchase Orders (optional) field, select one or more POs. All POs must belong to the same vendor as the prepayment.
  3. Complete the remaining fields and click Create.

All selected POs are linked to the prepayment at creation time.

  1. Find the prepayment in the Prepayments list.
  2. Click Actions → Link to PO on that row to open the Link Purchase Order dialog.
  3. Search for and select the PO you want to add. It must be from the same vendor.
  4. Click Link PO. The link is recorded in the prepayment's activity log.
  1. Open the prepayment.
  2. In the Linked Purchase Orders section, find the PO you want to remove.
  3. Click Unlink. The removal is logged in the audit trail.

Note: Unlinking a PO does not affect any bills the prepayment has already been applied to, nor does it reverse any payment that was recorded against that PO at creation time.

Viewing all bills on a PO

After linking a prepayment to multiple POs, open any of those POs and click the Bills tab. Bills associated through any link type — direct, multi-PO, or receipt allocation — all appear in that tab.
