Exporting PO line items to Excel

Who can use this?

Anyone with access to the Purchase Orders › Line Items tab. Unit Cost, Line Total, and Qty Billed columns are only included in your export if your account has the corresponding permissions.

Step-by-step

  1. Go to Inventory → Purchase Orders in the left navigation.
  2. Click the Line Items tab in the sub-navigation.
  3. Apply any filters you want — by supplier, warehouse, ETA range, line status, SKU, shipment reference, or any combination. Only the rows matching your active filters will be exported.
  4. Arrange and show/hide columns in the grid to control which columns appear in the file. (The export mirrors your visible column set in left-to-right order.)
  5. Click the Export button in the top-right of the page header.
  6. A confirmation message appears: "Your export is being prepared. It will appear on the Downloads page when ready." Click View Downloads to jump straight there, or navigate to Downloads from the main menu when you're ready.
  7. Download the .xlsx file from the Downloads page once it shows as complete.

What columns are included?

The export includes every column you have visible in the grid at the time you click Export. Available columns are:

Columns requiring permissions you don't hold are automatically excluded from your file — they will not appear as empty columns.

How many rows will be exported?

All rows that match your active filters — not just the page currently loaded in the grid. There is no row limit. For very large filtered sets the export may take a minute or two to appear in the Downloads page.

The export file doesn't match what I see in the grid

  • Columns missing: Check that the columns are not hidden in the grid. Only visible columns are exported.
  • Rows differ from expectation: Confirm your active filters are set correctly. The export applies the exact same filters the grid uses.
  • Cost or billing columns missing: Your account may not have the required permissions. Contact your account administrator.
  • File not appearing in Downloads: Wait a moment and refresh the Downloads page. If it still does not appear after a few minutes, try clicking Export again.
