Sending a purchase order or work order by email

From a single document

  1. Open the purchase order or work order detail page.
  2. In the Email to supplier section near the top of the page, click Compose email. The email composer opens.
  3. Review the To address pre-filled from the supplier's contacts. Add or change recipients if needed.
  4. Read the live Preview on the right to confirm the rendered subject and body before anything is sent.
  5. Toggle Attach each [document] as a PDF on or off, and choose a PDF layout template if you have more than one.
  6. Optionally add CC, BCC, or extra file attachments.
  7. Click Send 1 email.

From the purchase order list (bulk send)

  1. Go to the purchase orders list and select the POs you want to email.
  2. Choose Email from the bulk-actions menu.
  3. The composer opens with one group per supplier — each supplier receives a single email with all their selected POs attached.
  4. Review each supplier's recipient address and preview. Use the Edit button on a supplier row to change that supplier's To address or write a custom message just for them.
  5. Exclude any supplier you don't want to email by unchecking them.
  6. Click Send N emails.

Tracking delivery

After sending, each supplier row shows a Sent, Sending…, or Failed badge. If any supplier fails, a Retry button appears. Sent emails are recorded in the PO activity log, and the emailed PDF is saved as a document version on the record.

Notes

  • A supplier without any contact email address cannot be emailed. The composer warns you and leaves them unchecked.
  • Very large attachment sets (over ~18 MB for one supplier) are automatically split across multiple emails with numbered subject suffixes such as (1/2).
  • Placeholders such as {{ company.name }} and {{ document.number }} are filled in per supplier at send time — you edit the template source, not the rendered text.
