How Automatic EDI 856 Transmission Works

Whenever a shipment is created for a sales order that originated from an EDI trading-partner channel, Luminous automatically queues a background job to generate and transmit an EDI 856 Advance Ship Notice (ASN) to that trading partner. This happens roughly 30 seconds after the shipment is saved, giving the system time to fully record all package details before the 856 is composed.

The 856 is sent per shipment by default — so if an order ships in multiple parcels or waves, each shipment produces its own 856.

Cases Where the 856 Is Automatically Skipped

Luminous will not send a 856 automatically in any of these situations, with no configuration needed:

ConditionWhat happens
The sales order did not come from an EDI channelThe 856 step is skipped entirely
The shipment is voidedThe 856 is not triggered
The shipment is still in Pending statusThe 856 is held until the shipment is confirmed as shipped
The EDI integration account has no 856 transaction key configuredThe service silently skips transmission
A successful 856 was already sent for this shipmentA duplicate is not sent (idempotency check)

Options to Control or Disable Auto-Send

There is no self-service on/off toggle in the Luminous interface for the 856 auto-send. Controlling this behavior requires a configuration change to your EDI integration account. Contact Luminous Support to request one of the following:

Option 1 — Disable 856 transmission entirely

Ask support to remove the 856 transaction type from your EDI integration account configuration. Once the 856 key is absent, Luminous will skip transmission automatically for every shipment on that integration — no 856 will be sent, manually or automatically.

Option 2 — Send one consolidated 856 only when the full order ships

If your trading partner requires a single ASN after the entire order is complete (rather than one per shipment), ask support to enable the "Send 856 on Order Complete" setting on your EDI integration account. With this setting active:

  • Per-shipment 856s are held.
  • A single consolidated 856 covering all shipments is sent only once every fulfillment order on the sales order has reached Shipped status.

Manually Sending or Resending an 856

Regardless of the auto-send setting, you can always trigger an 856 manually:

  • From the Sales Order detail page: Open the sales order, click Actions, then Send EDI Documents → Send EDI 856.
  • From the Sales Orders grid: Select one or more EDI orders, open Actions → Bulk Actions, and choose Send EDI 856.

Manual sends are idempotent — if a successful 856 was already transmitted for a shipment, a resend will replace the previous record.

Checking 856 Status

The Sales Orders grid includes an 856 status column showing whether the ASN has been generated and sent for each order. You can also view full EDI document history (including control numbers and 997 acknowledgment status) from the EDI detail drawer on any order.
