What is an external location mapping?
When you connect a third-party integration (e.g. a WMS) to Luminous, that system reports inventory by its own warehouse locations ("external warehouses"). A warehouse mapping tells Luminous which Luminous warehouse group should receive stock data from a given external warehouse. Until a mapping exists, inventory will not sync for that external warehouse.
Each external warehouse maps to exactly one warehouse group, and each warehouse group can only be mapped to one external warehouse at a time.
Where to find the Warehouse Mapping screen
- Click your name (top right) and go to Settings / Integrations.
- Find your integration account and click its manage (products) icon in the row actions.
- Click the Warehouse Mapping tab.
The table shows every external warehouse reported by the integration, a Status column (Connected or Unmapped), the currently assigned Warehouse Group, and the group's Default Warehouse.
Warning banner: If any external warehouse is unmapped, a banner tells you how many are missing. Inventory will not sync for unmapped warehouses until a warehouse group is assigned. If no external warehouses appear, click sync Locations to pull the current list from the integration.
Syncing the list of external warehouses
Before you can map, Luminous needs to know which external warehouses exist. Click Sync Locations (top-right of the Warehouse Mapping tab) to pull the latest warehouse list from the integration. The table refreshes automatically after the sync completes.
Creating a mapping (connecting an external warehouse to a warehouse group)
- On the Warehouse Mapping tab, find the row with Status: Unmapped for the external warehouse you want to connect.
- In the Warehouse Group column, click the dropdown and select the warehouse group that should manage inventory for that location.
- Luminous saves the mapping immediately (a spinner appears while saving). The row's status changes to Connected.
What happens behind the scenes: selecting a warehouse group marks it as Externally Managed, links it to the integration account, and pins it to that specific external warehouse location. Pull Stocks and Pull Shipments are enabled by default.
A warehouse group that is already mapped to a different external warehouse cannot be selected again — you will see a warning. Use a different (unmapped) warehouse group, or remap the other warehouse first.
Remapping an external warehouse to a different warehouse group
- On the Warehouse Mapping tab, find the Connected row you want to change.
- Open the Warehouse Group dropdown and select a different warehouse group.
- The new mapping is saved automatically.
The previously assigned warehouse group is not deleted; it simply loses its externally managed connection to that location.
Editing an existing mapping's settings
After a mapping is created you may need to adjust the advanced settings (which quantity fields to sync, push settings, etc.). Do this through the warehouse group itself:
-
Go to Manage → Locations and click Warehouse Groups.
-
Find the warehouse group and open its Edit dialog (the ⋯ menu → Edit).
-
In the Externally Managed Settings section you can adjust:
Setting What it controls Pull Stocks Whether inventory quantities are pulled from the external warehouse on each sync Pull Shipments Whether inbound shipment data is pulled from the integration On Hand Quantity Types Which external field(s) sum into Luminous on-hand inventory Pending Quantity Types Which external field(s) write Luminous pending inventory (replaces order-based calculation when set) Available Quantity Types Which external field(s) write Luminous available inventory Incoming Quantity Types Which external field(s) write Luminous incoming inventory (replaces PO-based incoming count when set) App Integration Account The integration this warehouse group syncs with External Warehouse The specific external location pinned to this group -
Click Submit to save.
Note on Pending and Incoming warnings: If you configure Pending Quantity Types, Luminous stops calculating pending inventory from open orders for this warehouse group — all pending stock comes from the OMS pull. The same applies to Incoming Quantity Types and purchase-order-based incoming counts. Warnings appear in the form when these fields are populated.
Disabling an external location mapping
There are two levels of disabling, depending on what you need:
Stop syncing without removing the mapping
Leave Externally Managed on but turn off the relevant Auto Push Settings toggles (see below) — inbound sync behavior is controlled by the Quantity Types fields, not a separate "pull" switch.
Fully disconnect the external mapping
Edit the warehouse group and turn off the Externally Managed toggle. This removes the external connection entirely. The warehouse group itself and its internal warehouses are preserved — only the externally managed settings are cleared.
Tips and common issues
- Status stays Unmapped after syncing: Verify the integration account is properly configured and that the external warehouse is active in the third-party system. Try Sync Locations again.
- Warehouse group not available in the dropdown: The group may already be mapped to another external warehouse. Check other rows in the table, or create a new warehouse group (Manage → Locations → Warehouse Groups → Create Warehouse Group) and then return to map it.
- Inventory not updating after mapping: Confirm that Pull Stocks is enabled on the warehouse group. Also check that the integration account has valid credentials.
- Quantity numbers look wrong for FBA: The correct on-hand mapping for Amazon FBA via TrackStar is typically On Hand (not Sellable). Work with your Luminous support contact to verify the quantity type configuration for your specific integration.
