Overview

The Ship Together action lets you select two or more sales orders and consolidate them into one warehouse instruction (a single Fulfillment Order), so your warehouse picks and ships everything in one box. Each original sales order stays on record and automatically receives the shared tracking number once the shipment is processed.

Note: Ship Together is a feature that must be enabled for your account. If you do not see it in the menu, contact your Luminous administrator or Luminous Support.

Step 1 — Select at least two orders in the Sales Orders grid

  1. Go to Operations → Sales Order Grid.
  2. Use the checkboxes on the left of the grid to tick two or more orders you want to combine.
    • All selected orders must be on the same page of results. Cross-page ("select all remaining") selection is not supported for Ship Together.
    • You can use column filters to narrow the list down to the orders you want before selecting.

Step 2 — Open the Ship Together dialog

  1. Click the Actions button (top-right of the grid toolbar).
  2. Hover over Bulk Actions (N) — where N is the number of orders you have selected.
  3. Click Ship Together in the submenu.

The Ship Together option only appears when 2 or more orders are selected on the current page and the feature is enabled for your account.

Step 3 — Review the "Combine into one shipment" dialog

The dialog opens and immediately checks whether the selected orders are eligible to be combined. You will see:

Selected sales orders table

A summary of each order you selected, showing order number, customer, channel, currency, and shipping address.

Hard failures (if any)

If any of the following conditions are not met, a red banner appears and the Ship together confirm button stays disabled. You must cancel, fix the underlying issue, and try again:

ConditionWhat it means
All orders must be in an active statusOrders with a Shipped or Cancelled status cannot be combined.
All existing Fulfillment Orders must be pre-fulfillmentIf any of the selected orders already has a Fulfillment Order in Shipped, Partially Shipped, or Cancelled status, the merge is blocked.
Matching currencyEvery order must use the same currency.
Compatible warehouse routingAll orders must share the same Warehouse Group or the same Fulfillment Channel.
Not part of a splitOrders that are already part of a split Fulfillment Order cannot be combined here.

Primary order picker

Choose which order's number will appear first on warehouse paperwork. By default the first order in your selection is suggested. Select any order as primary using the radio buttons.

Shipping address

If all selected orders share the same ship-to address, this section is read-only.

If the orders have different shipping addresses, a warning banner appears and you must pick which address the merged shipment will go to. Selecting an address from a non-primary order requires the "Override merge ship-to address" permission. If you do not have that permission, only the primary order's address is selectable.

Warnings to acknowledge

Certain situations are soft warnings rather than hard blocks. You can still proceed, but you must tick each checkbox to confirm you have reviewed it:

  • Different shipping addresses — you are picking one address and overriding the others.
  • Different customers — the orders belong to different customer accounts.
  • Different channels — the orders came from different sales channels.
  • Order has no Fulfillment Order yet — a new Fulfillment Order will be created for that order during the merge; this succeeds only if inventory and warehouse routing allow it.

Step 4 — Confirm

Once all warnings are acknowledged and no hard failures remain, click Ship together. Luminous will:

  1. Create (or update) a single merged Fulfillment Order that carries all line items from every selected order.
  2. Return you to the Sales Orders grid, which refreshes automatically.

The merged Fulfillment Order shows a Combined label in the Fulfillment Orders grid. You can open it to see the Linked Sales Orders and the full list of combined items.

Tracking numbers after shipment

When the merged Fulfillment Order is shipped (e.g., via ShipStation), Luminous automatically copies the tracking number to every original sales order in the group — including orders that were not the primary. Each order's detail page shows the shared tracking number, and fulfillment notifications are pushed back to the source channel (e.g., Shopify) for each order individually.

For full details on how tracking is propagated, see How does Luminous record and display tracking numbers for sales orders that were merged into a single fulfillment order shipment?

How to reverse a Ship Together (Un-merge)

If you need to undo a merge before the shipment is picked or shipped:

  1. Navigate to the Fulfillment Orders page (or open the merged Fulfillment Order directly).
  2. Find the merged Fulfillment Order — it will show a Combined badge.
  3. Click the row action menu (the three-dot or kebab menu on that row).
  4. Click Un-merge (Ship together).

The Un-merge option is only available when the Fulfillment Order is not yet in a Shipped, Partially Shipped, or Cancelled status.

Tips

  • Suggested combinations: Luminous may display a suggestion banner on the Sales Orders grid when it detects unfulfilled orders going to the same shipping address. You can click a suggested group to pre-select those orders and then follow the steps above.
  • Permissions needed: The Ship Together action requires the Update Sales Orders permission. Choosing a different ship-to address from the primary order additionally requires the Override merge ship-to address permission.
  • Service level is not a constraint: Orders using different shipping service levels (e.g., ground vs. express) can still be combined — your warehouse team will see the items together and can choose the appropriate service for the box.
