Does Luminous have a configurable receiving tolerance that auto-closes a PO?

No. Luminous does not have a configurable receiving-quantity tolerance (such as ±5%) that automatically marks a purchase order as Completed when received within that threshold. There is no such setting in Purchase Order settings or anywhere else in the platform.

Closing (completing) a purchase order that was received short or over — but at a quantity your team considers acceptable — is a manual step that you perform after receiving.

How to close (mark as Completed) a partially- or over-received PO

Option 1 — Mark as Completed from the Purchase Order list (quickest)

  1. Go to Inventory → Purchase Orders → Active Orders tab.
  2. Find the PO you want to close. (Tip: POs with any receiving activity are highlighted in yellow.)
  3. Click the row's action menu (the three-dot or gear icon on the right of the row).
  4. Choose Mark as Completed.
  5. A confirmation dialog appears: "Mark this order as completed?" — click Mark as Completed to confirm.

The PO moves to the Completed tab immediately.

Option 2 — Update Purchase Order Status modal (more control)

  1. Open the PO (click its number to go to the detail page) or select it from the list.
  2. Click the action menu and choose Update Status to open the Update Purchase Order Status modal.
  3. In the modal, add or confirm the Completed milestone and save.

This modal also lets you set or adjust the other milestone dates (Production Started, Production Completed, In-Transit) at the same time.

What happens when a PO is marked Completed?

  • The PO status is set to Completed and it moves out of Active Orders.
  • Any remaining incoming inventory for unreceived line quantities is automatically removed from your incoming stock counts. You will no longer see those units as "on order."
  • A PO-received notification is sent to users who have that notification enabled.

This means you do not need to receive every last unit before closing — you can simply mark it Completed once you are satisfied with what arrived, and Luminous will clear the outstanding incoming balance for you.

Workaround if you need tolerance-based decisions

Because there is no automated threshold, teams that want a consistent rule (e.g., "close any PO where received quantity is within 5% of ordered") need to apply that rule manually:

  1. Open the PO detail and compare the Ordered Qty and Received Qty columns on each line.
  2. If the difference is within your acceptable range, use Mark as Completed as described above.
  3. If you receive more than ordered and want to reject the overage, handle that in your receiving report before closing.

Can a Completed PO be reopened?

A Completed PO cannot be re-opened through a standard button. If you need to receive additional stock against a completed PO, contact your Luminous administrator — corrections at this stage may require support assistance.
