Selecting bill lines from a receiving report
When you click Create Bill from a receiving report, Luminous now opens a 'What are you billing?' selection screen before the bill form is populated. This lets you include only the lines that appear on the vendor invoice you are entering.
Step 1 — Open the selection screen
- Go to Inventory → Receiving (or open a Purchase Order and navigate to its Receiving Reports).
- Find the receiving report, click the ⋮ action menu, and choose Create Bill.
- The 'What are you billing?' dialog opens. It shows:
- Product lines grouped by purchase order — one row per SKU with the outstanding quantity and amount remaining to be billed.
- Freight, duty & other charges — a separate section listing any extra costs recorded on the receipt.
Nothing is selected by default. You must actively choose what goes on this bill.
Step 2 — Select the lines you're being invoiced for
- Check individual rows to select them, or use the checkbox in the group header to select or clear an entire purchase order's lines at once.
- Use Select all / Clear in the toolbar when billing the full receipt.
- Use the SKU or description filter to quickly find a specific product on large receipts.
- The Outstanding column shows how much is left to bill on each line (already-billed amounts are shown as a note beneath it).
- For product lines, you can adjust the Qty to bill and Amount to bill fields before confirming — useful for partial shipment invoices.
- For freight, duty, and other charges you can edit the Amount to bill directly.
The running total of selected lines is shown at the bottom of the dialog.
Step 3 — Confirm and finish the bill
Click Add N lines to bill. The bill form opens pre-filled with only the selected lines and the correct vendor. Fill in the Bill Date, Due Date, and Vendor Invoice #, then save.
If the receipt spans multiple vendors, you will be prompted to pick which vendor this bill is for before lines are loaded. A bill can only have one vendor.
Tips
- Already fully billed receipts — if every line on the receipt has been billed, the dialog will say 'Nothing left to bill on this receipt.' You cannot create a duplicate bill for the same amounts.
- Freight and duty invoices — if you have a separate broker or carrier invoice for freight/duty charges, use the dedicated 'Bill freight & duty only' action instead (see the related article below).
- Bulk billing from a PO — when you initiate a bill from a purchase order's Bills tab or Receiving Reports tab, lines are filtered to that PO automatically and the picker is skipped.
