Short answer

Yes, in most cases. When you save a new bill, Luminous automatically tries to match its lines to receipt lines, using the same logic as the Auto Reconcile button. This is a best-effort match. Anything it can't match stays unmatched, and you can finish it on the bill's Reconcile tab.

What reconciliation is

Reconciliation matches what a vendor billed you for against what you actually received. It lets you check that you're paying for goods you received, at the right quantities and amounts. It also completes the PO → Receipt → Bill (three-way) match.

What happens automatically when a bill is created

After the bill is saved, Luminous goes through the bill's lines (adjustment lines are skipped) and allocates them to receipt lines:

  • Product lines linked to a PO line: matched to receipt lines for that same PO line, oldest received date first (FIFO). If one bill line spans several receipts, it is split across them. Each receipt line can only be matched up to the quantity received that hasn't already been billed.
  • Extra-cost lines (for example freight or duty) linked to a receiving report's extra cost: matched directly to that extra cost, up to the amount not yet billed.
  • Lines it can't match are skipped. This includes lines with no PO line link, and lines where more is billed than is available on the receipt. These stay unmatched or partial for you to resolve.

Which receipts are considered:

  • If the bill was created from a receiving report, only that report's lines are considered.
  • Otherwise, if the bill is linked to shipments, only receipt lines on those shipments are considered.
  • For other bills, receipt lines from the same vendor are considered.
  • If a bill has no receipt lines in scope, nothing is matched.

No extra step is required. Bills created through Luminous automations also run this matching.

Reconciliation statuses

Per line: Unmatched (red), Partial (yellow), Matched (green), Variance (orange).

Per bill: Reconciled (all lines fully matched), Partial (some lines matched), Unreconciled (none matched), N/A (not applicable, for example service-only bills).

Reconciling manually or finishing the rest

  1. Open the bill and click the Reconcile tab.
  2. The left panel lists each bill line with its status. Click a line to open the workspace.
  3. The workspace shows the billed quantity and amount, how much is already matched and what remains, and the Matched Allocations (each with an Unmatch button). It also lists Eligible Records, which are receipt lines you can match to, filterable by SKU, PO #, RR #, shipment reference or received date. Matches are ranked High, Med or Low, and lines from a PO already linked to the bill are starred.
  4. For non-product charges like freight or duty, you can distribute the amount proportionally across receipt lines.

To re-run the automatic matching later, for example after more goods have been received, click Auto Reconcile at the top of the Reconcile tab. The button is disabled once every line on the bill is already reconciled.

To work through unmatched lines across many bills in one place, search for Allocation Inbox in the top search bar.

Variances

If a bill and its receipt don’t agree, a Variance Detected bar appears on the bill. From there you can Flag for Review, Issue Credit, Add Adjustment, or Mark as Corrected. If the receipt is simply missing an accrual, add it on the receipt and reconcile again.

  • If you want to stop bills from charging more than has been received, see the 'Require receipt before billing PO items' setting article.
