Why does this happen?

A Luminous sales order goes through two distinct status signals when an order ships:

  1. Fulfillment-order (FO) status — updated when Luminous polls your warehouse or OMS and receives a "shipped" confirmation.
  2. Sales-order header status — historically updated only when a shipment record was created by a second, separate background poll.

In some common scenarios the second poll never creates a shipment record (for example, when the OMS poll exits early without writing a row). The result: the FO reads Shipped but the sales-order header is stuck on Awaiting Shipment — sometimes for hours, sometimes indefinitely until a daily catch-up job runs.

What changed

Luminous now reconciles the sales-order header status in the same sync cycle that marks the fulfillment order shipped. No shipment record is required. The header is promoted to:

  • Shipped — when every line on the fulfillment order has shipped.
  • Partially Shipped — when at least one line has shipped but others remain outstanding.

Built-in safeguards

ScenarioBehaviour
Sales order is CancelledHeader is never promoted — cancellation is preserved.
Sales order is On Hold with a future hold-until dateHeader is not released early — the hold is respected.
Sales order header is already ShippedA later partial-FO poll cannot demote it to Partially Shipped.
Repeat polls arrive for the same FOShipped quantities are capped at the ordered quantity — no double-counting.

How to confirm it is enabled for your account

This improvement is rolled out per account. To check or request enablement:

  1. Open a representative shipped order.
  2. After the warehouse confirms shipment, refresh the sales-order header within a few minutes of the OMS sync running.
  3. If the status is still stuck on Awaiting Shipment (and the fulfillment order reads Shipped), the fix is not yet active for your account — contact your Luminous representative to enable it.

What about the invoice 'ship-by' date?

A related fix also corrected invoices where the ship-by date displayed one calendar day later than the linked sales order. This affected invoices whose ship-by date was edited on the sales order after the original sync. Affected rows are corrected automatically by a one-time backfill; no action is required from you.

Still seeing a mismatch?

If your sales-order status is still lagging after this feature is enabled for your account:

  • Check that the fulfillment order's status in Luminous has actually advanced to Shipped (not just Pending or Partially Shipped).
  • Verify that the order is not Cancelled or On Hold — both prevent the in-cycle reconcile by design.
  • Contact support with the sales-order number and the time the warehouse reported shipment so the sync logs can be reviewed.
