PO line-item grid — units and remaining columns

Every quantity column uses the ordered unit

All quantity columns in the PO line-item grid — Ordered, Shipped, Received, Billed, Remaining to Ship, and Remaining to Receive — display in the ordered unit of measure: the unit shown in the UOM column on the same row.

If a line was purchased in cases, every quantity on that row is expressed in cases. If it was purchased in pallets, every figure is in pallets. Luminous converts shipment and receipt totals to the ordered unit before displaying them, so you can compare columns directly without any mental arithmetic.

Before this fix, the Shipped and Remaining columns used base-unit totals (eaches) even when the Ordered column showed cases. On any line where the ordered and base units differ, those columns were effectively incomparable. The columns have been corrected to use the ordered unit consistently.

'Remaining to Ship' vs 'Remaining to Receive'

These are two separate columns that answer two different questions:

ColumnDefinitionWhen it matters
Remaining to ShipOrdered − ShippedTells you how much the supplier still needs to put on a shipment
Remaining to ReceiveOrdered − ReceivedTells you how much your warehouse still needs to formally receive

A line can show zero Remaining to Ship (the supplier sent everything on a packing list) but still show a positive Remaining to Receive (the warehouse hasn't completed the receiving report yet). These are independent.

Negative remaining figures mean over-shipment or over-receipt

Both Remaining columns are signed — they can go negative. If a supplier ships 13 cases against a 10-case order, the line reports Remaining to Ship = −3. This is intentional: a negative is the number you need to see, and clamping it to zero would hide the discrepancy entirely.

Negative figures indicate a variance that should be reconciled against the bill (for over-shipments) or investigated with the supplier.

Finding lines with variances

You can use the Line Status column to filter lines by fulfillment stage (Awaiting Shipment, Partially Shipped, Shipped, Partially Received, Fully Received). Use the column tool panel (the sidebar icon on the grid) to show or hide optional columns and save your layout.

Tips

  • Received is still approximate on lines with a UOM conversion. Received quantities are summed from individual receiving-report lines, each of which stores its own unit. On the rare line where receiving history pre-dates per-line UOM tracking, the figure may not be fully converted. This will be addressed in a future update.
  • Remaining to Ship drives row selectability. When building a shipment from the PO line-items grid, only rows with a positive Remaining to Ship can be selected — a negative (over-shipped) line is treated the same as a zero.
  • If quantities still look unexpected after a receipt is saved, confirm the receiving report has been completed (not just started) and that line-item quantities were entered on the shipment's packing list.
