A support and customer-facing guide explaining why invoice line Description columns in QuickBooks Online (QBO) may be blank after Luminous pushes an invoice, and how to populate them.

Quick answer: QBO does not copy Product/Service descriptions onto invoice lines automatically. Luminous sends the invoice line Description from the Line Item Description field on the sales order or invoice — not from the product record or the QBO item.

Quick Summary

QuestionAnswer
Does QBO copy the Product/Service description onto invoice lines? No. QBO keeps those as separate fields.
Does Luminous send a line description?Yes — when the Luminous invoice line has a value in Line Item Description.
Why are descriptions often blank?Auto-created invoices from sales orders usually have an empty Line Item Description, even when the product has a description in Luminous.

Why QBO Product/Service Descriptions Don't Auto-Fill

In QuickBooks Online, each invoice line has its own Description field. That field is independent from the Description on the linked Product/Service item.

When Luminous pushes an invoice and references an existing QBO item by SKU (ItemRef), QBO does not automatically copy the item's description onto the invoice line. Luminous must explicitly send a Description value for each line in the API payload.

This is standard QBO behavior — not a Luminous bug. Putting a description on the QBO Product/Service record alone will not make it appear on pushed invoice lines.

What Luminous Sends to QuickBooks

When an invoice syncs to QBO, Luminous maps each invoice line item's Line Item Description (stored in Luminous as client_purchase_order_items.description) to the QBO line's Description field.

If that field is empty in Luminous, the QBO invoice line Description column will also be empty — even if:

  • The product has a Product Description in Luminous
  • The linked QBO Product/Service has a description
  • The QBO line shows the correct product name in the Product/Service column

The Product/Service column and the Description column in QBO serve different purposes. Luminous populates Product/Service via the item reference; Description only comes from the Luminous line item description field.

Product Description vs Line Item Description in Luminous

On sales orders and invoices, Luminous exposes two related but distinct fields on each line:

Field in Luminous UIWhat it representsSent to QBO?
Product DescriptionThe description stored on the product (RFQ) recordNo — display/reference only on the line
Line Item DescriptionThe description specific to this order or invoice lineYes — this is what syncs to QBO

When saving an invoice, Luminous sends Line Item Description as the line's description to the backend. Product Description is not automatically copied into that field unless someone explicitly enters it in Line Item Description.

Common confusion: A customer sees product descriptions on the product record (or in the Product Description column on a line) and expects them to appear in QBO. Only Line Item Description flows through to the QBO invoice line Description column.

Where Line Item Description Comes From

How Line Item Description gets populated depends on how the invoice was created:

Invoice sourceLine Item Description populated from
Sales order → invoice (auto or manual)lineItemDescription on the sales order line
Manual invoice editingWhatever the user enters in Line Item Description
Invoice importImport file column, or falls back to the product's product_description if the import column is blank
Channel-imported sales orders (Shopify, etc.)Usually not populated — channel imports do not set lineItemDescription by default

For tenants that auto-create invoices from channel orders, the sales order lines often have no Line Item Description value. In Product Sync mode, QBO will receive the fallback summary (SKU – Product Name – Qty) rather than a blank description. If you need the full product description or custom text in QBO, you must explicitly populate Line Item Description on the order or invoice.

Invoice Sync Modes and How They Affect Descriptions

Luminous supports two QuickBooks invoice sync modes (configured in QuickBooks invoice settings):

Product Sync mode (default)

Each invoice line references a QBO Product/Service matched by SKU (or creates one if missing).

  • QBO line Description = Luminous Line Item Description exactly
  • If Line Item Description is blank, QBO Description falls back to a structured summary of SKU – Product Name – Qty: N uom (for example, SKU-123 - Widget - Qty: 6 ea)
  • Fallback uses SKU and product name — not the full catalog product description

Account Sync mode

Requires the QuickBooks Chart of Accounts feature and maps lines to a proxy QBO item tied to a revenue account.

  • QBO line Description is built automatically from SKU, product name, Line Item Description (if present), and quantity/UOM (for example, Qty: 12 ea)
  • Example: SKU-123 - Camille Rose Curl Cream - Qty: 6 ea
  • Even without Line Item Description, Account Sync mode still sends SKU and product name — so the QBO Description column is not completely blank

Account Sync mode does not pull the full product description from the RFQ unless it was also entered in Line Item Description.

How to Get Descriptions Showing in QBO Today

  1. Open the sales order or invoice in Luminous.
  2. On each line item, enter text in the Line Item Description column.
  3. Save the record.
  4. Ensure the invoice syncs to QBO (or re-trigger sync if your workflow supports it).

Use this when customers need custom per-order text on the QBO invoice (not just the catalog product description).

Option 2 — Enable Account Sync mode

If the tenant has QuickBooks Chart of Accounts enabled and uses Account Sync mode, QBO descriptions will include SKU, product name, and quantity/UOM even when Line Item Description is empty.

This helps readability but is not a substitute for full product descriptions — it produces a compact identifier string, not the full RFQ product description text.

Option 3 — Populate descriptions at product level and copy manually

Ensure products have Product Description filled in on the RFQ record. Users can reference that text when filling Line Item Description on orders/invoices.

Luminous does not currently auto-copy Product Description → Line Item Description when creating invoices from sales orders. Invoice import is the exception — it does fall back to product_description.

Option 4 — Invoice import

When importing invoices via CSV/file, the import can map a description column. If that column is blank, the import falls back to the product's product_description.

FAQs & Troubleshooting

Q: The QBO Product/Service has a description — why is the invoice line blank?
A: QBO does not propagate item descriptions to invoice lines automatically. Luminous sends the invoice line Description from Luminous Line Item Description, which is often empty.

Q: The product has a description in Luminous — why didn't it push to QBO?
A: Product Description (on the RFQ) and Line Item Description (on the order/invoice line) are separate fields. Only Line Item Description syncs to QBO.

Q: We auto-create invoices from Shopify orders — can we get descriptions without manual entry?
A: In Product Sync mode (the default), Luminous automatically falls back to a structured summary of SKU – Product Name – Qty: N uom when Line Item Description is blank — so QBO descriptions will not be completely empty. If you need the full catalog product description or custom per-order text in QBO, you still need to populate Line Item Description manually, or use Account Sync mode (which always builds SKU + product name + Qty in the description).

Q: We already synced the invoice — will updating Line Item Description fix QBO?
A: It depends on whether the tenant's workflow re-syncs invoice updates to QBO. If the invoice was already synced and updates are not pushed again, you may need to edit the invoice directly in QBO or work with your Luminous administrator on re-sync options. For new invoices, populating Line Item Description before the initial sync is the reliable approach.

Q: Account Sync mode shows SKU and product name — is that the product description?
A: No. Account Sync builds a structured summary (SKU, name, qty/UOM). The full marketing or catalog product description from the RFQ is only included if it was entered in Line Item Description.

Q: Does Luminous set the description when it creates a new QBO Product/Service?
A: When Luminous creates a new QBO item during sync, it can set the item's Description from the Luminous line item description. That still does not cause QBO to auto-fill invoice line descriptions on future invoices — each invoice line Description must still be sent explicitly. If the QBO item already existed (matched by SKU), Luminous does not read the item's description back onto the invoice line.

Q: Which column should I tell customers to use?
A: Always Line Item Description on the sales order or invoice line — not Product Description.

Troubleshooting checklist

When a customer reports blank QBO invoice line descriptions:

  1. Confirm the QBO invoice came from Luminous (check quickbooks_invoice_id on the Luminous invoice or QBO sync status).
  2. Open the Luminous invoice line items — is Line Item Description populated?
  3. Trace upstream — if blank, check the source sales order's Line Item Description.
  4. Check invoice sync mode — Product Sync (description only from line item) vs Account Sync (SKU + name + qty built in).
  5. Check how the invoice was created — manual, SO conversion, channel auto-invoice, or import.
  6. Set expectations on QBO behavior — QBO item descriptions do not auto-fill invoice lines.

  • QuickBooks sync enabled — Global or channel-level invoice auto-push to QBO
  • Invoice push timing — When marked active, when paid, when order shipped, etc.
  • Invoice sync mode — Product Sync vs Account Sync (invoice_quickbooks_sync_mode)
  • QuickBooks Chart of Accounts feature flag — Required for Account Sync mode
