The Stocks Grid in Luminous is a powerful tool for monitoring inventory, managing stock levels, and creating purchase or transfer orders. This guide will walk you through how to use its features step by step.
Step-by-Step Guide
Step 1: Access the Stocks Grid
- Navigate to the Inventory section in Luminous.
- Select Stocks Grid from the menu on the left.
Step 2: Understand Key Stock Statuses
The Stocks Grid highlights three key stock statuses:
- In Stock Status: Reflects current inventory levels.
- Reorder Level: Shows when stock falls below the low stock alert quantity.
- Example: If inventory is below the reorder level, it will trigger a reorder status.
- Minimum Stock: Indicates when stock is critically low, falling below the minimum stock level.
Step 3: Filter Your View
-
The Stocks Grid supports two types of filtering that can be used together.
Sidebar and Top-Bar Filters
Use these to scope your view by stock status or location:
- Filter by Stock Status (left sidebar) — click In Stock, Re-Order Level, or Minimum Stock
- Filter by Warehouse Group — narrow results to a specific location or fulfillment group
- Filter by Supplier or Category — view stock scoped to a vendor or product type
- Include SKUs w/o Warehouse/Warehouse Groups — toggle on to include SKUs not assigned to any location
Note: Discontinued SKUs will appear in the Stocks Grid unless you assign them a "Discontinued" product category and filter by that category to exclude them.
-
Column-Level Numeric Filters
Each quantity column — including Available Quantity, On-Hand, Incoming Quantity, and Pending Quantity — has its own filter icon (▽) directly below the column header. Use these to filter by specific numeric conditions.
Example: Show only SKUs with Available Quantity greater than 0
- Click the ▽ filter icon below the Available Quantity column header.
- Select Greater than from the dropdown.
- Enter 0 in the value field.
- The grid immediately updates to show only SKUs with stock available.
Available filter options for quantity columns:
Option Use Case Blank / Not blank Find SKUs with missing quantity data Equals / Not equal Match an exact quantity Greater than e.g., Available > 0 to show in-stock SKUs only Greater than or equals e.g., Available ≥ 1 Less than / Less than or equals e.g., find SKUs below a threshold In range e.g., Available between 1–50 for low-stock review Tip: Column filters can be stacked with sidebar filters. For example: filter the sidebar to a specific Warehouse Group, then apply Available Quantity > 0 to see what's in stock at that location only.
Reset: Click Reset Column Filters in the top toolbar to clear all active column-level filters at once.
-
Save Filters:
- Apply your filters, then save them for quick access in the future.
- Rename or delete saved filters as needed.
Step 4: Save Filters as Presets 🆕
Once you've configured a filter combination you use regularly, save it so you don't have to rebuild it each time.
- Set up your sidebar and column filters as needed.
- Click Save Preset in the left sidebar.
- Name your preset (e.g., "In Stock Only" or "Default Warehouse – Available > 0").
- Select it from the preset list on future visits to reload the view instantly.
Presets can be renamed or deleted as your needs change.
Step 5: Customize Columns
Adjust the columns displayed in the grid to surface the data most relevant to your workflow:
- Stock levels (Available, On-Hand, Incoming, Pending)
- Low stock alerts
- Warehouse locations
- Preferred supplier information
Step 6: Bulk Select and Create Orders
- Bulk Select Products:
- Select multiple products from the grid.
- Create a Purchase Order (PO):
- Use the selected products to generate a PO directly from the Stocks Grid.
- Create a Transfer Order:
- Easily create transfer orders to move inventory between locations.
Step 7: Use Actions Menu
- Resync Pending: Sync inventory data for updated quantities.
- Reset Baseline: Reset inventory quantities to zero for accurate tracking.
- Export Data: Export specific selections using the actions menu.
Step 8: Analyze and Plan Inventory Decisions
- Use the grid to view:
- Current inventory levels
- Incoming stock quantities
- Low stock alerts
- Based on this data, make informed purchasing or replenishment decisions.
Understanding Available Quantity:
Available = On Hand − Pending. Pending reflects units reserved for open, unfulfilled sales orders. A SKU may show On Hand stock but Available = 0 if all units are committed to orders. Always check Pending Quantity alongside Available for the full picture.
Step 9: Export Data
Click the Export button to download your current grid view as a CSV or Excel file for offline analysis or sharing.
Tip: Apply your filters before exporting — the export reflects your active filtered view, not the full unfiltered catalog.
By utilizing the Stocks Grid in Luminous, you can monitor inventory levels in real-time, streamline order creation, and ensure you're making accurate purchasing decisions. This tool simplifies stock management, helping you maintain optimal inventory levels and avoid stockouts.
Tips and Best Practices
- Use column filters for precise quantity-based views. The Available Quantity > 0 filter is the fastest way to isolate sellable SKUs without leaving the page or exporting.
- Stack filters for focused decision-making. Combine warehouse group, stock status, and column filters to build exactly the view you need before creating orders or exporting.
- Save presets for your most common workflows. Teams that review specific warehouses or categories regularly should save those views as named presets.
- Refresh before acting. Click Refresh Table before creating orders or exporting to ensure you're working with the latest quantities.
- Available ≠ On Hand. Don't use On Hand alone for fulfillment decisions — Available accounts for what's already committed to open orders.
FAQs and Troubleshooting
Q: I filtered Available Quantity > 0 but I'm still seeing unexpected SKUs. Why?
A: Check whether Include SKUs w/o Warehouse/Warehouse Groups is toggled on — uncheck it if you only want to see SKUs assigned to a warehouse group. Also confirm you applied the filter to Available Quantity specifically, not a different column. Click Reset Column Filters and reapply if unsure.
Q: Can I filter Available Quantity in the SKU view (Inventory > SKUs) the same way?
A: No — column-level numeric filtering is specific to the Stocks Grid. The SKU view supports sorting by Available but not threshold filtering. Use the Stocks Grid for this workflow.
Q: My Available Quantity looks lower than expected after filtering.
A: Available = On Hand − Pending. If new orders have come in since your last refresh, Pending may have increased and reduced Available. Click Refresh Table to pull the latest data.
Q: Can I create a PO directly from my filtered results?
A: Yes — after filtering, bulk select the relevant SKUs using the checkboxes and use the Actions menu to generate a Purchase Order or Transfer Order from the filtered view.
